Department: Police

Reports To: Police Chief

Status: Part-Time, Non-Exempt (Hourly)

Wage Scale: $14.50 to $18.79 per hour (typical starting wage $14.50-$16.65 DOE)

Hours: Up to 25 hours per week

Position Summary:

This position is responsible for performing a variety of clerical, secretarial, and administrative support for the Police Chief, other supervisors, and officers. Answers incoming phone calls; provides assistance to the public; coordinates various office functions and services; writes, drafts, and processes data, documents and reports; and other duties as assigned by the Police Chief and other supervisory staff.

Required Knowledge, Skills, and Abilities:

  • Knowledge of secretarial and office practices and procedures; business English usage, spelling, grammar, and punctuation; organization, procedures, and operating details of the City; City government organization, functions, policies, rules, and regulations.
  • Skilled in office management duties; word processing; spreadsheets; composing correspondence; handling multiple projects with interruptions; prioritizing and organizing workload to meet deadlines.
  • Ability to communicate clearly and concisely, orally and in writing using correct grammar, spelling, and punctuation; compile and maintain complex and extensive reports; complete reports and answer questions from reports; read, understand, interpret, and explain rules and regulations; coordinate work of other staff members; take initiative; demonstrate creativity and work within a team; deal with people in a manner which shows sensitivity, tact, and professionalism; maintain confidentiality.

While performing the duties of this job the employee is frequently required to stand, sit, reach with hand and arms, talk, hear, see, walk, stoop, kneel, crouch or crawl, use hands to grab and handle or feel and lift up to 25 pounds. The employee must occasionally lift and/or move more than 25 pounds. Duties require sufficient mobility to work in a typical office setting and use standard office equipment, as well as sustained posture in a seated position for prolonged periods of time. Specific vision requirements for this position include close vision, distance vision, peripheral vision, and depth perception.

While performing the duties of this job, the employee is frequently exposed to moderately quiet in-office settings, and occasionally to outside weather conditions. The employee is occasionally exposed to criminal justice related information that some people may find shocking or offensive.

Minimum Qualifications:

  • High school graduation or GED, and
  • One (1) year of related experience; or
  • An equivalent combination of education and experience.
  • Must be able to pass an extensive background check, polygraph, and drug screen.

Preferred Qualifications:

  • Previous experience with Spillman records management system
  • State of Utah Records Officer Certification
  • Bilingual English/Spanish
