Our Head Office started operations in 2014 to support a family owned restaurant and to manage a Real Estate portfolio. We are currently looking for an Administrative Assistant to join our dynamic team at the Mississauga location (Airport & Steeles).
Job Description
· Clerical duties such as data entry, photocopying, filing and faxing
· Manage executive calendars and expense reports
· Prepare correspondences, reports and presentations
· Organize logistics for on-site and off-site meetings and events
· Sort, process and verify invoices and other documents
· Preparing, formatting, proof-reading and editing a variety of documents
· General office duties will include answering telephones, responding to inquiries
· Review, respond, and file emails on the Executives behalf
· Maintain schedules, organize and attend meetings, and ensure the calendar is up to date and that the day is kept on track
· Make travel arrangements (both business and personal)
· Interface with clients and staff and stand in for the Executive at meetings when required
· Meeting and greeting visitors at all levels of seniority
· Assist with a variety of life management tasks including running personal errands
Rental Property Management:
· Dealing with property issues
· Preparation of leases
· Setting appointments
· Screening candidates
· Rental applications
· Payments
Skills and Specifications:
· Excellent knowledge of MS Office Suite (Word, Excel, PowerPoint, Outlook)
· MUST HAVE 1-2 years’ experience in an administrative assistant role
· MUST HAVE excellent knowledge of accounting
· MUST OWN a driver’s license and vehicle
· Knowledge of Punjabi/Hindi is an asset
· Knowledge of QuickBooks is an asset
· Self-starter who is able to anticipate needs and work independently with minimal direction Resourceful with the ability to prioritize, multitask
· Should have excellent organizational skills and leadership qualities
· The person should be enthusiastic about the challenges of the job
· Shows independent judgment, discretion and diplomacy; high accountability
· Proven ability to work under pressure with tight multi-deadlines and projects in a fast-paced environment
· High level of customer service, energy, speed and accuracy
· Excellent interpersonal skills and demonstrated ability to work effectively in teams
· Strong work ethic and ability to work in an environment requiring discretion and confidentiality
