The Foundation’s geographic area of emphasis is the Omaha metropolitan area (including Harrison, Mills and Pottawattamie counties in Iowa) and all of Greater Nebraska, plus causes outside that region in which the Scotts have had personal involvement.

As we look to the future, it is imperative that the Foundation prioritize the support, development, and success of our Finance staff and operations with the addition of a Finance Assistant.

Job Summary:

We are seeking a Finance Assistant to support our growing organization.

This position provides a unique opportunity to join our team during a stage of growth to truly build scalability within our Finance department.

In this position you will use your organizational skills and expertise to ensure the Finance team is operating at its peak including, but not limited to providing a range of administrative support to the Director of Finance, coordination with internal and external stakeholders, and supporting various areas of finance operations.

Primary Duties & Responsibilities:

  • Provides a wide variety of administrative support to the Finance Department. Manages the Director of Finance’s and departmental calendars to prioritize and resolve conflicts and to ensure all commitments and deadlines are met. Prepares responses, correspondence, meeting materials, schedules, and other forms of communications for the Department, including proofreading.
  • Assists the Department in entering journal entries, initiating bank transfers, distributing bank statements, and reconciling certain bank accounts.
  • Supports Accounts Payable processes when needed and acts as a back-up in the absence of Accounts Payable staff. Checks A/P batches for accuracy prior to submitting checks for signature. Audits A/P invoices/checks and requisition/expense reimbursement/purchase orders, etc. to ensure the Foundation’s policies are followed, as needed.
  • Assists with the monthly distribution of financial reports to all stakeholders.
  • Assist in annual budgeting, monthly forecasting, and administration of financial plans.
  • Assist in maintenance of accounts and ledgers in the accounting system.
  • Administrates the corporate credit card including issuing, cancelling, balancing and periodic reviews of the statements according to the Foundation’s policy.
  • Assists the Department in coordinating periodic activities as well as fact checks and resolving discrepancies.
  • Assists the Director of Finance in managing contracts and agreements including execution and renewal.
  • Organizes, updates, and maintains the Department’s confidential filing systems. Maintains the Department’s records in compliance with the retention policy.
  • Supports and coordinates Investment Committee meeting arrangements.
  • Performs standard office tasks such as answering telephones, filing, ordering of supplies, faxing and copying, and booking meeting rooms. Collects and opens mail addressed to the Department; forwards correspondence to appropriate staff for action.
  • Maintains positive relationships with other departments, consultants, financial institutions, and vendors.
  • Undertakes special assignments or projects on a wide variety of responsibilities as assigned by the Director of Finance.

Education and Experience:

  • Two years of college level studies required with a preference for business courses.
  • Experience and knowledge in accounting processes and systems preferred.
  • Experience in office procedures, data compilation and record maintenance preferred.
  • Advanced computer skills including the use of word processing, spreadsheet, e-mail, and accounting/finance programs desirable.
