The office administrator provides a wide variety of administrative support services to the Chassis Division. This person is responsible for overall front office activities, including the reception area and performs general office duties involving word processing, filing, telephone and reception. The Office Administrator compiles data for routine reports, makes appointments and travel arrangements, and may administer programs, projects, and/or processes specific to the operating unit served. This position may also compose routine to moderately complex correspondence, standard and ad hoc reports, presentations materials, etc. This position may exercise some judgment in selecting from a set of prescribed procedures and may be responsible for handling difficult situations in absence of executive.

Essential Functions

  • Manages the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image.
  • Maintain security by following procedures; monitoring visitor sign-in book and providing clean safety glasses
  • Manage calendars and appointments
  • Assist with written correspondence, record and publish meeting minutes, prepare reports, and handle information requests
  • Manages large amounts of data using primarily Microsoft Excel, Microsoft AX and time and labor management systems. Maintains document tracking all active project hours, earned revenues, stage of completion and work in progress. Requires proficiency with Microsoft Excel and other business programs. Compiles, audits, and summarizes information from timekeeping system to ensure accuracy of work performed.

Candidates must be able to multi-task and maintain focus in a busy work environment. Reporting tasks require proficiency in Microsoft Excel or comparable spreadsheet application.
