Job Description

Summit Fire National Accounts is comprised of multiple subsidiaries providing fire protection services such as Fire Alarm, Fire sprinkler, fire extinguisher, Security and pre-engineered systems. We are presently providing these services in 24 states and 71 locations throughout the United States. We are growing rapidly and seek experienced Portal Administrator to join our team.

The purpose of the Administrative Assistant - Federal Accounts is to assist on-boarding, merging, transition and updating the 3rd party portals.

This position does not directly supervise employees.

Minimum Qualifications:

Associate’s and/or bachelor’s degree in Business, Finance or similar; preferred.

High School diploma, required.

Experience:

  • 2-5 years administration
  • 2-5 years of professional computer skills
  • Ability to learn ERP/CRM systems; Timberline Sage 300 CRE, preferred

Job Duties / Responsibilities:

  • Maintain customer portal contact information
  • Maintain all onboarding policies and procedures for all utilized portals
  • Assisting acquisition staff with merging and transitioning their existing portal profiles with Summits portal profile
  • Running customer portal reports to identify “rejected” invoices within two business days of completion of billing. Provide reports to Billing Coordinators so “rejected” invoices can be reviewed and corrected in a timely manner
  • Ensuring annual fees and agreements are up to date
  • Maintaining the portal login information page for all subsidiaries
  • Assist with submitting and uploading various documents and certificates of insurance
  • Reporting incoming ACH deposits.
  • Reconciling account billing discrepancies
  • Scheduling and assigning work orders and service requests to appropriate office and or partner. Follow up to make sure work is completed in a timely manner to customers’ satisfaction.
  • Processing invoices to customers and assist the district Service Administrators in following-up on service requests for national account customers.
  • Reviewing and following up on additional repair quotes and proposals.
  • Maintaining internal tracking system and any third-party system utilized by the national account customer.
