Chicago Marketing Firm is looking for an Assistant to perform a variety of administrative tasks and support our company’s senior-level managers. The Administrative Assistant responsibilities include managing calendars, making travel arrangements and preparing expense reports. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members.
Act as the point of contact among executives, employees, clients and other external partners
Handle and coordinate active calendars; schedule and confirm meetings
Prepare weekly meeting reports
Perform data collection and analysis
Make travel and accommodation arrangements
Screen and direct phone calls and distribute correspondence
Ensure file organization based on office protocol
Manage online marketing materials
Provide assistance to coordinate company marketing events & event planning
Design & maintain accuracy of in-house marketing collateral across all platforms
Assist with writing and proofreading internal and external communications
Review and edit written communications and marketing content
Assist in development and implementation of marketing campaigns
Communicate with various marketing media organizations to coordinate plans
Provide support to Sales and Marketing staff
Process contracts and addendums for sales and settlements
Minimum 1 year administrative assistance experience
Excellent knowledge of MS Office
Outstanding organizational and time management skills
Excellent interpersonal, oral, and written communication skills
Ability to manage multiple projects.
Ability to meet deadlines promptly.
Experience with project coordination/management.
Experience with direct marketing, marketing and/or fundraising preferred
