This is a support staff position under thedirect supervision of the Chief Legal Counsel for the Office of General Counsel, Southern Region.The primary duty of the Legal Staff Assistant is to assist several legal counsels and provide clerical assistance on a day-to-day basis. The Legal Staff Assistant is expected to handle high volume, time-sensitive work and be able to prioritize duties. Further, the Legal Staff Assistant will provide high-level administrative support by conducting research, preparing reports, handling information requests, assisting with program management, assisting constituents, and performing administrative and clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. Incumbents may also train lower-level clerical staff. Bilingual (English/Spanish) language proficiency is preferred.
EXAMPLES OF WORK
- Receives and routes telephone calls, answer basic questions regarding cases and provides general info to clients and the public.
- Reviews, assigns, prepares and tracks incoming/outgoing correspondence.
- Assists with purchase orders and processing invoices.
- Analyzes operating practices and procedures to create new or to revise existing methods.
- Drafts and processes a variety of legal correspondence and prepares replies on behalf of the legal office.
- Prepares legal documents such as petitions, motions, notices, and orders for the attorney’s review and signature.
- Provides needed support to attorneys in handling and preparation of special assignments, research, and report preparation.
