Job Description

Stark Equipment is seeking a Sales Coordinator in our Williamsville, NY office! This position is responsible for processing administrative and accounting activities within projects generated by the Equipment sales team. Are you the ideal candidate?

The Sales Coordinator will allocate manufacturer project commissions to associated projects. Process project billing by reviewing AP postings to tie out AP to AR. Create invoice in "Draft" form for buy/resell and commission projects and submit to Shared Services AR specialist for completion. Collaborate with corporate's shared services department as well as the Equipment sales team to coordinate, allocate, process and reconcile project AR/AP billings and commissions. Support month end close-out procedures - Analyze min bill report, review gross margins & AR/AP activity on each project. Support new customer setup within accounting software & credit card processing. Support manufacturer & 3rd party portal processing for project quoting, order entry processing, billing/ticketing, terms, insurance and project bid compliance support, warranty/startup documentation processing for successful project entry through closeout. Direct or indirect customer interactions to support annual service agreements and 1-time service support specifically for Vertiv. Maintain detailed and organized files and ensure all records are accurate and up to date within systems of record (Salesforce, Intacct, Smax, as applicable). Support office management and event planning tasks as assigned within given market and location.

Aside from the overall scope of the role listed above, you must be an efficient communicator with warm interpersonal skills, provide an excellent first impression, and be willing to take on additional tasks and responsibilities as the need arises.

What we would love to see:

  • High School Diploma and 2 years of related billing/admin experience required.
  • Bachelor's degree in Business or 3+ years of related billing/admin experience is preferred.
  • Possesses superior attention to detail in order to spot inconsistencies within project billings.
  • Adequate knowledge of accounting and/or billing practices and procedures a plus.
  • Ability to adapt and be flexible in a changing environment.
  • Strong communication and customer service skills required.
  • Ability to multi-task, work under pressure and meet deadlines required.
  • Must be able to deal with a large volume of work in a fast-paced, time-sensitive environment.
