Job Descriptions: Summary: Serves as confidential and technical assistant to the Superintendent of the Stark County Board of Developmental Disabilities. + Responsible for the efficient operation of the Superintendent's Office. + Assists the Superintendent in official contact with Board members, governmental agency representatives, employees, family members, and other stakeholders as requested.
+ Assists the Superintendent in the administrative obligation to the Board by preparing or assisting in the preparation of principal documents that constitute the formal work of the Board. + Provides background information to Superintendent and senior administrative staff for development of positions for collective bargaining, public and media relations, and Board member information requests. + Supervises the production, assembly and distribution of the agenda and related materials for regular and special meetings of the County Board of Developmental Disabilities.
+ Serves as a resource and provides information to Board members. + Serves as liaison to the public and staff in regard to Board of Developmental Disabilities policies, procedures and records. + Prioritizes and identifies critical tasks.
+ Maintains the Superintendent's calendar and schedules his/her time. + Ascertains name and purpose of Superintendent's callers and visitors. + Schedules committee, board, community and other meetings via telephone, e-mail, or written correspondence.
+ Provides technical support to the Superintendent and the Board, both as a body and as individuals, in the planning and conduct of regular and special meetings and in activities attendant to membership of the Board. + Composes and/or prepares correspondence for Superintendent's signature and/or staff members. + Copies and distributes documents.
Maintains all related file systems. + Attends, takes and transcribes minutes of meetings, including, but not limited to, County Board of Developmental Disabilities meetings, senior staff meetings, negotiations strategy meetings, legal matters, and other administrative meetings as requested. + Types and takes dictation with accuracy and skill to document Board meetings.
May be required to use computer or electronic recording or storage devices. + Gathers information and reports to the Superintendent regarding personnel matters including administrative proceedings, litigation, collective bargaining, fringe benefits, and disciplinary proceedings. + Obtains commitment and cooperation from others in order to assure maximum positive impact on programs and services provided by the County Board of Developmental Disabilities.
+ Honors confidentiality in all matters. + Logs mail and correspondence. + Operate office equipment such as computers, typewriters, fax and copier to accomplish tasks.
+ Promotes good public relations by personal appearance, attitude and conversation. + Promotes good safety practices and procedures. + Performs related work as required.
Required Experience: This is a high-level administrative assistant position. The position is distinguished from other administrative assistant positions by the confidential nature and level of responsibility, by the assistant's involvement in collective bargaining matters, and in official contact with Board members, senior management, and with other governmental officials, including, but not limited to: school superintendents, county agency directors, county commissioners, county administrator, probate court judge, elected and appointed state officials. To perform this job successfully, an individual must have proficiency in the Microsoft Office Suite of Word, Excel and Outlook; be competent in Windows operating systems, e-mail, Internet search and use.
Excellent verbal and written communication skills along with outstanding customer service is required. Minimum of Associates degree or two years of college coursework in relevant field. May have equivalent combination of education and administrative experience.
