Bilingual Administrative Assistant

We are currently seeking a Bilingual Administrative Assistant to join our team. This position plays a crucial role in ensuring smooth office operations, managing paperwork related to BOLs and inventory, and supporting the overall administrative functions of the company. Offering up to $70K!
Responsibilities:
Coordinate administrative tasks:
- Perform data entry, record keeping, and document management to maintain accurate and up-to-date information.
- Assist with the organization and filing of documents for easy retrieval.
Supervise office assistants:
- Provide guidance and support to office assistants, ensuring their tasks are completed efficiently and effectively.
- Foster a positive work environment and encourage teamwork and collaboration.
Handle BOLs paperwork:
- Manage the processing, tracking, and filing of Bills of Lading (BOLs) to ensure accurate documentation.
- Collaborate with internal teams to gather necessary information and resolve any discrepancies.
Manage inventory paperwork:
- Oversee inventory control and forecasting, ensuring accurate inventory levels and timely replenishment.
- Maintain proper documentation related to inventory, including purchase orders, receipts, and inventory counts.
Maintain relationships with vendors and service providers:
- Communicate with vendors to ensure timely delivery of supplies and equipment.
- Negotiate contracts and monitor service agreements to ensure cost-effective facility management.
Assist in production coordination:
- Work closely with production teams to coordinate schedules, aligning them with customer demands and deadlines.
- Provide administrative support to ensure smooth production processes.
Qualifications:
- High School Diploma; Bachelor's Degree in Business Administration preferred.
- Bilingual proficiency in English and Spanish.
- Minimum of 3 years of experience in office management or administrative roles.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines.
- Excellent communication skills, both written and verbal, to effectively interact with team members and external stakeholders.
- Detail-oriented with a focus on accuracy in data entry and record keeping.
- Strong problem-solving and decision-making skills to address day-to-day operational challenges
