In the role of Administrative Assistant, you are the first point of contact who provides that professional, polite and attentive experience to our clients and guests. In this vital position of the organization, you are a multitasker with an upbeat attitude who is prepared and responsive while carrying out daily responsibilities.

Some of the responsibilities include answering and screening telephone calls to ensure they get directed to the appropriate personnel as well as managing Yealink phone system. You complete a broad range of administrative tasks in support of the Executive Director including: preparing and sending outbound communications via emails and letters, managing fax correspondence, making appointments, prioritizing tasks and managing calendars. As an Administrative Assistant, you also ensure smooth operations from day to day by providing support to Program Coordinators as needed.

Building relationships in a leadership capacity is crucial to the success of the organization. It is important to follow up with contacts made by the Executive Director and support the cultivation of ongoing relationships. You assist with preparation of quarterly Board meetings, Leadership Team Meetings, and monthly Staff Meetings while maintaining an accurate account of the notes of those meetings. You also provide oversight of the agency training calendar and manage the inventory of office supplies and marketing material for all programs. Other duties may be assigned.


  • Bachelor's Degree
  • At least 2 years of administrative/clerical experience


  • Proficient with Microsoft Office Suite (Word, Excel, PowerPoint) and other database software
  • Ability to verify data input and correct errors
  • Ability to understand and follow specific instructions and procedures
  • Ability to maintain confidentiality of records and information
  • Ability to take ownership of assigned work
  • Must embrace CARF A.S.P.I.R.E. to Excellence standards
