Administrative Assistant

SUMMARY: Administration support is key to the efficient operation of a department or company. The Administrative Assistant will provide administrative support to for all programs of the Workforce and Empowerment Center. Support includes advanced clerical tasks, minutes recording and distribution, scheduling/reservations and bookings for a variety of functions, document production, creation and distribution and backup reception and purchasing.

ESSENTIAL FUNCTIONS:

  1. Oversee general operations of the Workforce and Empowerment Center.
  2. Act as the point of contact between the executives and internal/external clients.
  3. Act as the first point of contact at an assigned facility (e.g., answer phones, greeting and directing guests, ensuring facility safety).
  4. Perform administrative, planning, and organizational tasks that support the Executive Office.
  5. Undertake the tasks of receiving calls and routing correspondence.
  6. Manage administrative programs and the timely and accurate submission of reports.
  7. Schedule office activities, events, and meetings, internal and external.
  8. Organize and Coordinate Training Events .
  9. Prepare Conference & Training Rooms.
  10. Setup and organize travel arrangements.
  11. Ensure cleanliness of administrative offices (e.g., conference and break rooms).
  12. Schedule and attend meetings (as requested) to benefit Agency relations.
  13. Perform other duties (personnel and general) as designated or assigned.
  14. Produce reports, presentations, and briefs.


QUALIFICATIONS:

  1. Associates in Business Administration preferred. A minimum of 2 years of experience is required.
  2. Complete comprehension of office management systems and procedures.
  3. Excellent knowledge of teleconference platforms (Zoom, Microsoft Teams, Skype, etc.)
  4. Excellent knowledge of Microsoft 365.
  5. High-level verbal and written communication skills.
  6. Discretion and confidentiality.
  7. Exemplary planning and time management skills.
  8. Must have reliable transportation.
  9. Knowledgeable and proficient computer skills with a willingness to expand.
  10. Ability to organize time and materials effectively.
  11. Ability to type and file with accuracy.
  12. Ability to multitask and prioritize daily workload.
  13. Must have a positive attitude toward receiving directives.
