Job Description

In this role, you will coordinate and perform a wide variety of administrative responsibilities to support the Executive Assistant and Chief Executive Office of a recognized and respected healthcare organization. You will provide administrative support to facilitate the smooth operation and workflow of the CEO’s office.

Responsibilities:

  • Assists the Executive Assistant in supporting the Chief Executive Office with duties that include serving as a gatekeeper by screening visitor calls, requests and inquiries as well as assisting with calendar management and meeting preparation.
  • Collects, tracks, and maintains information, often of a highly confidential nature. Maintains confidential records including updating multiple databases and cross referencing information for accuracy.
  • Coordinates the receipt, processing, production, and distribution of regular reports to the management team, department heads and organization staff.
  • Composes, reviews, and prepares a variety of correspondence. Prepares, edits, and proofreads presentations from notes or independently, often of a complex and confidential nature. May assist with designing, creating, and formatting presentations and documents using advanced features of MS Office applications, including Word, Excel, and PowerPoint.
  • Maintains filing system for records, documents, computer files and printed materials. Orders all offices supplies. Reviews, determines appropriate disposition of, and responds to mail, faxes, and email. Follows up on requests and sends brochures, packets, and other information.
  • Assists with planning, scheduling, and coordinating complex events, meetings, and conferences to include facilities, catering, logistics, invitation, and registration process to ensure smooth flow and execution of the event/agenda.

Requirements:

  • Bachelor’s degree preferred or Associate’s with equivalent work experience.
  • Five plus years of experience working as an administrative assistant supporting senior-level management.
  • Excellent organizational, interpersonal, and verbal and written communication skills.
  • Proficiency with Microsoft Office suite (MS Word, Excel, PowerPoint, and Outlook)
