Rate: $55,000 - $60,000 (@ 1.0 FTE, non-reduced)

Position Summary:
The Board Coordinator and Legal Assistant in the Offices of the Board of Trustees and the General Counsel ("the Offices") reports to the University Board Secretary ("the Secretary") as well as to the General Counsel and provides executive-level, confidential administrative services. The majority of the Board Coordinator and Legal Assistant's work is performed under the supervision of the Secretary in a highly-sensitive and confidential environment.

The Board Coordinator and Legal Assistant is responsible for understanding the university's admission, goals, and policies; public meetings and public records laws; as well as the board's policies, objectives, and goals.

The Board Coordinator and Legal Assistant is responsible for the facilitation and coordination of administrative operations of the Offices. Administrative dutiesinclude but are not limited to all aspects of executive support; meeting scheduling, preparation, and support; document preparation and review; copy-editing; dissemination of information; website updates; purchasing; travel management; and reconciling periodic statements. This position is also responsible for coordinating strategic activities and events, assistance with records stewardship, programming
surveys, conducting research, and assisting with special assignments and projects, as directed.

The Board Coordinator and Legal Assistant must possess a high level of cultural awareness and sensitivity, and be comfortable working with people from a range of diverse backgrounds and positions. The Board Coordinator and Legal Assistantmust be adaptable to changing priorities in a dynamic environment and acollaborative team member in a small but productive office environment.

Minimum Qualifications:
Five years experience providing administrative support in an executive or similar office required. A Bachelors degree may be substituted for one year of required experience. Experience with managing department budgets, accounting, and related activities required. Excellent knowledge and use of grammar required. Excellent oral and especially written communications skills required. Excellent organizational skills required. Ability to work successfully with a wide variety of people from different backgrounds and cultures required. Ability to manage multiple tasks and priorities required. Advanced computer skills in Microsoft Office, including Word, Excel and PowerPoint, or similar programs as well as Zoom required. Ability to provide daily technical support to a small office required. Willingness to learn new software applications and other technology skills required. Willingness to honor and uphold stated values of equity, diversity, and inclusion.

Preferred Qualification:
Bachelors degree
Paralegal or legal secretary experience highly preferred
Experience with meticulous project planning and execution
Experience with web content applications
Experience constructing detailed meeting minutes
Experience with policies, regulations, administrative rules, statutes, etc.
Experience with public meetings, public records, and related laws
Experience working at an institution of higher education or with public governing bodies.

Knowledge, Skills, and Abilities:
Excellent written and oral communication skills; ability to effectively communicate information in a clear and understandable manner both verbally and in writing. Demonstrated excellence in business etiquette. Demonstrated skill in using common office computer equipment and software. Demonstrated online searching and navigation skills. Demonstrated public and customer service skills. Ability to provide a high level of productivity, accuracy and attention to detail. Ability to work independently and in collaboration with others. Ability to adapt in a fast-paced and constantly changing environment. Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in and outside the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds. Ability to adapt to and work effectively in a complex bureaucratic environment which requires regular interaction with a number of levels within the organization and with outside agencies. Working knowledge of, or ability to quickly learn, university infrastructure, policies and procedures. Proficiency with the public meetings and public records laws and an ability to make sound decisions to uphold these.

Special Conditions
Must be willing to travel and attend training programs off-site for occasional professional development.
Must be able to work additional hours and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.
