How You Will Contribute

The Administrative Assistant is an integral part of our team. The Administrative Assistant must demonstrate an ability to function independently and pro-actively, have discretion, tact, humor, and a desire to learn.


Things You Will Do

  • Provide administrative support and organize to the Regional Vice President, Regional and District Managers
  • Perform routine administrative duties including management of calendars, correspondence, travel arrangements, answering phones, ordering office supplies, office organization and maintaining a professional office and atmosphere
  • Answer and manage incoming communications
  • Receive and interact with incoming visitors
  • Prepare and edit correspondence, communications, presentations and other documents
  • Prepare agendas, forms, spreadsheets and presentations
  • Set and send calendar appointments
  • Assist with the planning and execution of team meetings and training events
  • Administrate recruitment, new hire process and on-boarding
  • Summarize event logistics, topics, lessons learned and prepare expense distribution report
  • Assist with day to day monitoring of weekly/monthly reports to include Yardi, Reputation and others
  • Request competitive bids, provide summaries, allocate cost and submit invoices for approval
  • Research vendor payables and assist with inquiries
  • Prepare and submit regional team expense reports
  • Liaise with internal staff at all levels
  • Maintain electronic and hard copy filing system
  • Retrieve documents from filing system
  • Handle requests for information and data
  • Resolve administrative problems and inquiries
  • Assist with the sale and takeover of communities: maintain transition checklist, contact utility companies and vendors, coordinate details and documents with internal staff
  • Prepare financial reports
  • Organize and maintain project management software
  • Perform other related duties and special projects as required

Things You Need

  • High School diploma or equivalent. College degree preferred
  • 3-4 years of professional experience required
  • Multi-family property management experience preferred
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Able to multitask and meet deadlines in a timely manner
  • Knowledge of Yardi or other industry software preferred
  • Ability to work as a flexible team player in a fast paced, entrepreneurial environment
  • Exceptional organizational and inter-personal skills
