Operations Administrative Assistant Position Overview To perform the Operations Administrative Assistant role successfully, an individual must be able to perform each of the essential duties at a satisfactory level. The position is a Non-Exempt level role that requires the use of skills attained from industry experience or transferrable industry skills experience. The Administrative Assistant works under supervision of the Director of Property Management and under general supervision of the President.
This role is responsible for a variety of administrative support associated with the Operations Department, comprised of the Regional Managers, Compliance and President. These duties are a usual and customary part of the role. Who We Are: Solari Enterprises, Inc.
is a full-service property management company that specializes in multifamily affordable housing. Duties and Responsibilities: Assist with the review of and response to emails and landline voicemails for Operations' Team Members when in the field or absent. Maintain the individual Community's Authorized Purchaser's Lists.
Maintain a Community Book for each active Community. Update and maintain Operations' data base, (a.k.a. lists to be updated) Complete travel arrangements for Operations' Team Members, including air, lodging and vehicle rentals.
Assists with lease up tasks, such as: Clearing the lease up lines Maintaining the lease up interest lists Mailing out applications to the interest lists Create a mail merge of applicants, as needed Assist with the implementation of marketing as outlined by the RM. Assist with miscellaneous tasks of the lease ups. Special Projects as assigned Communicate with Team Members as needed.
Assist the Office Manager during absences. Maintain a professional image and attitude in keeping with the objectives of Solari Enterprises, Inc., and the client's and resident's welfare. Provides strong administrative support services such as typing, data entry, maintaining data, word processing, record retention, duplicating and distribution of documents.
Organize and manage Operations' Tickler System, including follow up as needed. Distribute faxes to the fax boxes as they arrive Date, time stamp and log all outgoing faxes. Check all Operations Team Members' out boxes frequently, each day and distribute as marked.
Additionally, all team members must adhere to and comply with all policies, procedures, processes and guidelines of Solari Enterprises, Inc. Language Skills: Team member must be able to read, analyze, and interpret general business policies and procedures. Team member must be able to effectively present information and respond to questions from team members, residents, supervisors, and the general public.
Team member must possess good interpersonal communication skills to interact with residents, vendors and supervisors. Mathematical Skills: Team member must be able to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Required Qualifications: High School Diploma or General Education Degree (GED) One year of Office experience, preferably in a busy Receptionist role.
Microsoft Word, Excel, Outlook and the general computer skills. Handling multi-line phone system. Must posses excellent interpersonal, strong written and verbal communication skills, organization and multitasking skills.
