Associate Director of Property Management

General Summary:

SoLa Rentals is a Real Estate Investment and Property Management company. Our specialty is managing properties in urban areas of Los Angeles. We work closely with both landlords and tenants to turnaround challenging buildings and difficult situations. SoLa currently manages three real estate funds which total over 1,300 units and we expect to add another 1,500 units in the next 24 months. We are experiencing explosive growth and want people who thrive in a fast-paced environment. You will work very closely with upper management & ownership on a day to day basis. Your primary role will be assisting the Director of Property Management in overseeing staff, initiatives, and operations for property management, leasing, and collections departments. You will ensure financial, compliance and physical aspects of the assets meet industry standards and operate in accordance with commitments made to lenders, investors and regulators. S/he will help establish appropriate metrics to ensure that the Property Management departments are meeting client and company objectives while collaborating with other departments and team members to achieve overall company goals. Primary Duties and Responsibilities (Essential Functions):

  • Develop and train property managers and leasing agents in your portfolio.
  • Develop departmental goals, plans, and standards consistent with operational, administrative, legal and ethical requirements and objectives of the organization.
  • Conducts job interviews, hire qualified candidates, disciplines and administers personnel policies
  • Prepare and analyze weekly and quarterly performance reports.
  • Establishes metrics and reports results on success of the various department efforts.
  • Experience and developed management and supervisory skills sufficient to lead, direct, evaluate, and mentor subordinate and peer team members.
  • Develop a relationship with key leaders in the community.
  • Directly supervise managers, and oversee the activities department staff is performing on our behalf. Carry out supervisory responsibilities in accordance with the organization's policies and applicable laws and owner requests. Responsibilities include interviewing, hiring, and training staff; planning, assigning, and directing work; appraising performance; addressing complaints; and resolving problems.
  • Identify and implement solutions for correcting operational inefficiencies, service deficiencies, and tenant complaints or concerns. Oversee the collections and leasing functions with a goal to minimize vacancies and maximize revenues.
  • Assist with developing operational strategic plans to optimize the processes, systems, and personnel.
  • Communicate with the Director of Property Management on a recurring basis regarding property performance with respect to leasing, rent collections, expense controls, staffing, and general operational matters. Compile reports as needed.
  • Develop a detailed leasing and marketing plan for the Director of Property Management and/or ownership approval and oversee implementation to meet all goals; monitor and adjust with the Director of Property Management and/or ownership on a regular basis.
  • Update job knowledge by participating in educational opportunities, researching industry trends, submarket developments, demographic shifts, and new legislation to analyze their overall impact on the market; participate in industry-relevant professional organizations.
  • Assist the Director of Property Management, as needed, in long-range planning, communications, and other tasks
  • Open new communities and complete lease-up of buildings
  • In collaboration with the Director of Property Management: a) Guide career development of leasing staff; cultivate a supportive work environment that fosters collaboration, growth, sensible decision-making, and a drive for collective success; b) Achieve financial objectives by sustaining a balance between high occupancy and aggressive rental incomes relative to specific sub and adjacent markets; as needed, review market rent projections on annual financial statements and provide input; c) Evaluate associate performance to ensure compliance with SoLa Rentals standards and discuss with associates as appropriate; execute performance management plans to support alignment with standards, expectations, and goals; provide interval performance updates to Director of PM to measure progress and evaluate effectiveness of training.

Qualifications

  • Strong communication skills with all levels of management and employees, energetic and credible with a proven track record, and deeply knowledgeable of the goals of the role.
  • Experience and developed management and supervisory skills sufficient to lead, direct, evaluate, and mentor subordinate and peer team members.
  • First-hand, seasoned experience in multi-site property management and residential property operations, including all facets of managing the physical, operational, financial, and customer service performance of a wide variety of asset types under varying market conditions.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to calculate intermediate figures such as percentages, discounts, and commissions, as well as comprehend, analyze, and interpret complex documents.
  • Advanced analytical and quantitative skills, as well as strong organizational, time management and problem-solving skills. Intermediate level proficiency with Microsoft Office Suite.
  • Ability to provide efficient, timely, reliable and courteous service to clients. Ability to effectively present information.
  • Knowledge in leases, contracts, construction, and property maintenance practices. Decisions made with a thorough understanding of procedures, company policies, and business practices to achieve results and meet deadlines.
  • Knowledge of commercial leases, contracts, construction, and property/grounds maintenance practices. Decisions made with a thorough understanding of procedures, company policies, and business practices to achieve general results and deadlines.
  • Strong initiative, work ethic, innovation, and entrepreneurial spirit. Exceptional interpersonal skills (team player) with all levels of employees, vendors, and tenants.
  • Exhibit a focus on bottom-line results, an understanding of how goals fit into the big picture, persistence in the face of obstacles, and a performance ethic that ensures that the work will get done, the targets will be achieved, and the project will be on track.
  • Proven experience developing and implementing new processes and continuous improvement initiatives, and improving upon department metrics.
  • Proficient in Microsoft Office (Excel & Word). Working knowledge of computers and their applications.
  • Experience in Yardi / AppFolio.
  • Excellent supervisory skills.

Job Requirements:

Education:

  • Bachelor's Degree required. Business, finance, marketing, or related field is preferred; advanced degree preferred.

Experience:

  • 10+ years’ experience in Property Management; affordable housing, section 8, commercial leasing.
  • Minimum 3 years’ experience as a Senior Manager, Associate Director, or higher
