Executive Assistant and Project Coordinator

Position Overview:
The Executive Assistant and Project Coordinator will provide high level administrative support to the CEO to ensure they can efficiently accomplish key tasks and initiatives of the organization. This role will manage the CEO’s daily calendar including scheduling meetings, confirming appointments, writing itineraries and arranging for transportation as well as train other administrative staff on policies and best practices of the organization. The Executive Assistant will keep the CEO’s communications organized as well as screen all visitors and determine what level of support they need while offering polite, professional customer service. Additionally as Project Coordinator they will work closely with project managers to create comprehensive action plans concerning resources, budgets and timeframes for projects.

Key Responsibilities:

·         The Executive Assistant and Project Coordinator will report to the CEO.

·         Act as the point of contact among executives, employees, clients and other external partners.

·         Manage information flow in a timely and accurate manner.

·         Manage executives’ calendars and set up meetings.

·         Rack daily expenses and prepare weekly, monthly or quarterly reports.

·         Act as an office manager by keeping up with office supply inventory.

·         Format information for internal and external communication – memos, emails, presentations and reports.

·         Take minutes during meetings.

·         Screen and direct phone calls and distribute correspondence.

·         Organize and maintain the office filing system.

Requirements & Qualifications:

·         Proven experience as an executive assistant or other relevant administrative support experience.

·         Ability to organize daily workload by priorities.

·         Must be able to meet deadlines in a fast paced quickly changing environment.

·         A proactive approach to problem solving with strong decision making skills.

·         Outstanding organizational and time management skills.

·         Excellent verbal and written communications skills.

·         Able to maintain a high level of discretion and confidentiality.

·         Tech savvy and familiar with office management and equipment.

·         Takes ownership and accountability of work.
