Job Description

 

PRIMARY JOB DUTIES

·         Follow standard operating procedure support processes

·         Accurately and expediently process customer Purchase Orders reviewing pricing and allowances to ensure they match the planned pricing and allowances

·         Communicate order discrepancies to customers, brokers, and sales team and work with them to gain prompt resolution

·         Provide an Order Acknowledgment to customers and/or brokers

·         Monitor the order status at key steps between the distribution centers and transportation companies to ensure on-time delivery to our customer

·         Investigate product and shipping discrepancies, troubleshoot them, and incite changes that reduce the potential for future discrepancies

·         Manage resolution of damage and shortage claims in coordination with Finance

·         Follow-up on customer re-bills and deduction denials with customers, Sales Brokers, and Sales Directors

·         Maintain customer order files, ensuring information is up to date

·         Match BOLs to Sales Orders for invoicing. Check BOLs for accuracy and any shipping discrepancies

·         Provide product information, solutions, and relevant details to customers

·         Provide data on customer order activities to help the sales team

·         Be an internal source of knowledge about our customers and their requirements

·         Show a professional response to customer concerns, meeting or beating customer expectations

·         Use sound judgment to determine when to escalate issues and to whom to ensure quality resolution

·         Provide impeccable customer support by maintaining a positive attitude and creating innovative solutions

 

EXPERIENCE AND SKILL REQUIREMENTS

·         Proficient in QuickBooks, QuickBooks Enterprise, or a similar system such as NetSuite or MAS2000

·         Experience with EDI and EDI Providers – SPS Commerce

·         Experience with Microsoft Office especially Outlook

·         A college degree preferred but not required

·         Exceptional verbal communication skills and a customer service-oriented phone manner

·         Strong organizational skills, detail orientation, and commitment to accuracy

·         Strong problem-solving skills

·         Relationship building skills

·         Self-directed with a demonstrated sense of accountability

·         Ability to adapt to the changing needs of a dynamic growth-oriented business
