Individual must be a self-starter possessing a high level of attention to detail. Strong administrative, computer and communication skills are necessary. This team player will provide administrative support and administrate payroll and attendance activities for approximately 170 employees. Will also serve as a resource for production and skilled trades’ employees and other department employees and will complete special projects as directed. A working knowledge of payroll and prior experience in a unionized facility is preferred. Ability to work flexible hours including early morning hours and some weekend hours is required.

Essential Functions

Maintain Accurate Payroll:
Significant labor card data entries into the CHAMPS software program daily
• Reconcile CHAMPS labor card entries against KRONOS timecard entries and make corrections to labor card entries within CHAMPS as required
• Identify and correct all errors in labor charges
• Serve as Technical Service’s Kronos payroll administrator, and provide Kronos payroll administration support for production departments, hourly employees. This includes, but is not limited to:
a. Accurately entering pay codes into employee timecard records within Kronos (vacation, arrive late, leave early, shift changes, wage changes, training pay, etc.)
b. Verify accurate transfer of Kronos data into Attendance on a daily basis
• Serve as attendance coordinator for Technical Service’s hourly employees
• This position is responsible for all Blue Slip activity within Technical Services
• Perform weekly overtime and attendance audits
• Audit and approve weekly payroll
• Keeping up to date with punch edit forms

Craft Overtime Administration:
• Learn and understand the Collective Bargaining Agreements [CBA’s] covering Craft and RWDSU Unions to ensure that the language in the contract is adhered to and administered in accordance with policy
• Create all overtime documents
• Schedule weekend overtime
• Perform overtime call-ins
• Track worked overtime hours
• Create overtime reports for Maintenance Manager as requested

Craft Manpower Documentation:
• Maintain master documentation for weekly manpower scheduling
• Vacation scheduling and administration
• Discipline tracking
• Grievance scheduling and tracking
• Manpower resource scheduling
• Assist in developing Apprentice Rotations
• Assist in developing Craft Training schedules
• Administer Craft bid/Vacancy fill processes
• Maintain New Hire & Retiree check lists



General Office Management:
• Perform weekly inventory of miscellaneous office supplies and forms (job cards, burn permits, etc.) and identify items to be re-ordered
• Follow and adhere to all internal and external Audit [SOX] requirements
• Develop and maintain updated Standard Operating Procedures Manual for all job functions related to this position, Weekend Supervisor Manual and Technical Services’ Emergency Manual
• Create and distribute various required computer reports (CHAMPS, Budget, KPI’s etc.) as needed
• Perform new hire training
• Create & Post pertinent department postings
• Maintain Tool Chips
• Perform special projects (data analysis, presentations, etc.) and other duties as assigned
• Must have excellent general computer skills
• Must have the ability to work well with others and possess good communication skills


Other Functions

• The Maintenance Coordinator must be a self starter who can perform well with minimal direct supervision
• Attention to detail and the ability to provide excellent customer service for a wide range of customers and activities is critical to this position
• Most of the activities in this position are time sensitive and deadlines must be met
• Supports an efficient and professional environment by consistently adhering to policy
• Able to work alone or with other team members to develop streamlined administrative solutions, procedures and policies
• Serve as plant-wide SmartStaff Administrator

Skills and Knowledge

• High school diploma or GED required plus a minimum of three (3) years requisite experience. A 2-year Associates degree is preferred.
• Knowledgeable in payroll and labor cost administration
• Skills: quantitative, communication, organizational, initiative to address problems and develop solutions to stream-line the work flow
• PC: Kronos, SAP, Microsoft Office (minimum intermediate skills in Excel & Access), proficient and accurate keyboarding skills
• Ability to work in a self-directed, fast paced environment
