Job Title:                 Food Pantry Coordinator

FLSA Status:          Full-Time, Non-Exempt, Regular

Work Schedule:       40 hours per week 

Department:            Food Pantry (Dept# 500) 

Pay:                         $16.75-20.00 an hour                      

GENERAL PURPOSE OF JOB 

The Food Pantry Coordinator is responsible for Silver Key’s procurement and distribution of food for the food pantry, including pickup, receipt, storage, and distribution of food to community members in need. This role is the primary liaise with Care and Share Food Bank. Additionally, the FP Coordinator is the primary administrator of the Emergency Food Assistance Program (TEFAP) and Commodity Supplemental Food Program (CSFP) and is responsible to ensure compliance with their rules and reporting requirements. To enhance consistent client access to nutritious food, the Pantry Coordinator manages the volunteers who conduct deliveries and distributions. Pantry Coordinator also helps volunteers be a part of the distribution process, thus further integrating volunteers into the service model. The Pantry Coordinator will recruit, train, coordinate, and support volunteers to ensure sufficient volunteer staffing of pantry hours, pantry restocking, donation sorting, interpretation, and purchasing hygiene supplies and bulk food items. This role fosters relationships with partner agencies, including other food pantries, meal sites, grocery suppliers, food and hygiene supply donors. Assist in planning and implementing relevant training and educational opportunities to pantry volunteers.

Product/Resource Coordination:

  • Assist with identifying new food procurement opportunities focused on nutrient-dense or protein-rich foods (working with local vendors to obtain usable products that would normally be discarded)
  • Manage all arrangements with vendors and volunteers
  • Order fresh produce, frozen meat, and non-perishable food
  • Manage the input and output of inventory for each food distribution, following FIFO
  • Organize and track inventory to understand best use of space
  • Organize packing for monthly home deliveries

Volunteer Management:

  • Train and oversee volunteers to collect, sort, package, and display food for distribution to clients
  • Work with Volunteer Coordinator to recruit and train volunteers to assist with distribution efforts
  • Determine needs and supervise volunteers
  • Assist with Bountiful Bags as needed

Facilities Management

  • Maintain a clean, well-ordered warehouse and property.
  • Perform minor facility maintenance.
  • Operate warehouse equipment as needed.
  • Ensure all equipment – forklift, truck, refrigerator, freezers, pallet jacks, baler – and facility stay in good working order; schedule maintenance/repairs as needed.

General Responsibilities:

  • Assist with physical set up for each food distribution
  • Manage distribution by supervising and coordinating volunteers, as well as providing clients with friendly customer service
  • Manage food procurement documentation
  • Maintain a sanitary work environment in preparation for visits from health inspectors
  • Attend training and community meetings as approved by Coordinator
  • Maintain flexibility with time, tasks, and priorities
  • Pursue a program of professional self-development including selected readings, seminars, and workshops
  • Assume additional responsibilities as necessary or as assigned by Coordinator to accomplish the purpose and goals of the Pantry including orientation and cross-training in other Distribution activities
  • Support reception including answering phones, greeting clients and volunteers, accepting donations, data entry, and maintaining a welcoming atmosphere

DRIVING DUTIES

Will occasionally be required to drive on behalf of Silver Key Senior Services.  Must maintain a current, valid Colorado Driver’s License.  Must maintain the state issued minimum automotive liability insurance coverage.  Must observe and obey all federal, state, and local traffic laws.  Responsible for the proper function and maintenance of any Silver Key vehicles used in performing assigned duties.

REQUIRED EDUCATION and/or EXPERIENCE

  • High school diploma or general education degree (GED).
  • At least three months related experience and/or training, or equivalent combination of education and experience

Passion for Silver Key mission. Strong interpersonal skills to work with clients and community partners. High level of integrity and dependability with strong sense of urgency. Must be proficient in MS Word and Excel programs.  Demonstrate responsiveness and sensitivity to cultural differences. Results and detail oriented. Problem solving and creative skills and ability to exercise sound judgment. Ability to communicate with all levels of staff in the organization

TECHNOLOGY PROFICIENCY

This position requires good proficiency in the use of computer software and applications, office equipment, and professional telephone use.  The ability to adequately type quickly with few to no errors is also very important.  This position will often require multi-tasking in the use of computer, phone, and office equipment while interacting with clients.  Candidates for this position may be required to take and pass technology proficiency assessments prior to employment.

CERTIFICATES, LICENSES, REGISTRATIONS

  • Must possess and maintain a Colorado Driver’s License.
  • Must pass all required background checks.
  • Complete Servsafe Food Handler Certification Program within 60 days of hire
  • Complete Civil Rights Certification within 60 days of hire

PHYSICAL DEMANDS

This position requires standing, walking and sitting for periods of time. Utilization of hands and fingers to operate office computer keyboard and equipment required. Must be able to reach with hands and arms, talk, hear and stoop, kneel or crouch if needed.  Must be able to lift up to 50 pounds as needed.

WORK ENVIRONMENT

The duties of this position are performed in a warehouse and client service pantry setting. This included loading dock bays, refrigeration and freezer units, and dry storage areas.  A substantial amount of time interacting with clients, staff and volunteers in person is required. Travel within the community may be frequent for pick-ups. Travel out of town is infrequent.
