Operations Coordinator (Hybrid Position)

Position Description

Oversee, monitor and review all company operations functions including but not limited to transaction accuracy, cash management, and account documentation for physical and virtual networks. Support overall physical and virtual operations results and identify skill gaps. Ensure appropriate training is provided to close learning gaps. Act as corporate operations expert and point of reference for branch associates and other departments in all aspects of organizational operations. Support operational projects and participate in projects across business lines.

Position Responsibilities

Operations Oversight:

  • Monitor account documentation, identifying trends involving the closing of skill gaps with branch, and virtual associates. Provide appropriate coaching and training as needed in these areas.
  • Review overall transaction accuracy and cash/check difference trends, working directly with the Senior operations SME, as needed to coach and train in areas of need.
  • Provide guidance to branches with proper cash management (main vault and ATM), ensuring proper limits (minimum and maximum) are maintained.
  • Assist branches and virtual team in resolving operational issues.
  • Act as informational resource to both virtual and branch staff.

Operational Efficiency:

  • Conduct periodic analysis of overall efficiency through focus groups and senior leadership, making appropriate recommendations to policy and procedures as needed.
  • Communicate via regular branch site visits, leadership meetings, huddles, and conference calls.

Credit Union Initiatives:

  • Contribute to and participate in credit union projects across business lines.
  • Contribute to the regular review of Credit Union's policy and procedures, providing input and guidance in adherence with industry standards.

Special Accounts function:

  • Facilitate and Support Special Accounts function to identify trends in the proper handling of Credit Union special accounts (to include IRA's, Trust, Deceased, Power Of Attorney's, Garnishments, Levy's, and Subpoena's), and determine appropriate coaching and training to credit union staff to close skill gaps.

Vendor Management:

  • Maintain vendor relationship with ATM and cash providers. Provide systems training as needed for both software and hardware updates and enhancements affecting the front end user.

Core Management:

  • Understand core operations, as well as complete account structure. Continue ongoing education on core system best practices.
  • Network with other F.I.s on best practices on core behaviors,
  • Continued implementation on best practices.
  • Continuance on current product and service updates - supporting both the physical and virtual teams

Position Requirements

  • Bachelor's degree or comparable work experience
  • Two to five years credit union or bank operations experience
  • Ability to build effective relationships with internal and external partners
  • Ability to coach, train, and motivate staff
  • Ability to manage multiple projects
  • Proven ability serving as a bank operations subject matter expert (SME)
  • Strong attention to detail
  • Strong organizational skills and follow up
  • Strong verbal and written communication skills
  • Proficiency with MS Office Suite including Outlook, Word, Excel and PowerPoint
  • Working knowledge of regulations relating to all Credit Union deposit products (Reg E, Reg CC,
  • Reg D, and Truth‑in‑Savings Act).
