Job DescriptionFacilities Specialist

Purpose: Assists the Facilities Coordinator and business units to ensure the co-op's buildings, equipment and grounds are well maintained at all times.


Status: Full Time. Reports to the Facilities Coordinator.


Pay Level: V


Responsibilities:

  • Coordinate completion of Maintenance Request Tool tickets (see below).
  • Perform routine maintenance (see below).
  • Exhibit excellent customer service and professional behavior.
  • Maintain professional relationships with service vendors.
  • Seek out and recommend new service vendors as needed.
  • Advise Facilities staff regarding maintenance needs.
  • Recommend new equipment purchases.
  • Able to adjust work schedule to accommodate maintenance scheduling.
  • Follow OSHA, State and municipal maintenance guidelines and procedures.
  • Act as a Service Team member to assist with any co-op-wide emergency.
  • Participate on Safety Advisory Teams, as needed.
  • Purchase supplies, as needed.
  • Track, code, and submit invoices for supplies, equipment, or services to Finance.
  • Assist with transport of supplies and equipment between business units.
  • Other tasks assigned by supervisor.
  • Provide project support to Initiatives Manager, as needed.

Routine Maintenance:

  • Groundskeeping supplemental to snow and landscaping vendors, including mowing lawn, watering plants, snow and litter removal.
  • Replace lamps, spots, tubes and ballasts, as needed.
  • Perform minor plumbing and equipment repairs.
  • Regularly inspect co-op buildings for maintenance and painting needs.
  • Power wash fixtures and equipment, as needed.
  • Purchase and maintain tools as necessary, and maintain tool inventory.
  • Develop and maintain knowledge of stored equipment, tools and supplies.
  • Ensure regular and seasonal maintenance schedules are adhered to by self or vendors.
  • Assist with large housekeeping or cleanup projects, as needed.
  • Perform scheduled afterhours cleaning and maintenance.

Maintenance Request Tool:

  • Ensure timely completion of open tickets.
  • Research parts and supplies, and purchase as needed to complete tickets.
  • Communicate repair status with ticket stakeholders.
  • Coordinate repairs with external service vendors, when required.
  • Ensure ticket logs are detailed with descriptions and supplemental materials like photos, work orders, or invoices for all tickets.
  • Update equipment data and the knowledge base whenever new information is received.

Qualifications:


Essential

  • Working knowledge of the Microsoft Office suite.
  • Proficient verbal and written communication skills.
  • Able to work in a team atmosphere.
  • Regular, predictable attendance.
  • Excellent customer service skills.
  • English proficiency.
  • Excellent time management and organizational skills.
  • Adaptability, discernment and creative problem solving ability.
  • Valid driver's license and functioning vehicle.

Preferred

  • Experience with maintenance and repair tasks including carpentry, plumbing, painting, wall repair, power tool familiarity.
  • Knowledge of electrical systems, small appliance repair, and HVAC concepts.
  • Familiarity with co-operative business model and natural foods products.
  • Experience working with customers, vendors and co-workers from various cultural backgrounds.

Functional

  • Environmental exposure to extreme temperatures (coolers, ovens, freezer, outdoors, etc.).
  • Ability to freely access all areas of the store including offices, sales floor, back stock areas, and walk-in coolers and freezers.
  • Ability to bend and lift repeatedly for extended periods of time.
  • Ability to stand in confined space for extended periods of time.
  • Ability to perform repeated actions for extended periods of time.
  • Ability to stand, bend, stoop, reach, squat and walk for extended periods of time per shift.
  • Bend and lift loads, not to exceed 50 pounds. Push and pull carts weighing up to 100 pounds.
  • Environmental exposure to extreme temperatures (coolers, ovens, freezer, outdoors, etc.).
  • Repetitive use of hands for grasping, pushing, pulling, and fine manipulation.
