Job Brief


This position is responsible for weekly invoicing of clients, bi-weekly payrolls, ADP system administration, automation and setup, payroll and scheduling support, and payroll reporting. This position reports to the Sr, Director of Human Capital Management. The position interfaces with the site operations staff on day-to-day payroll functions and works closely with the Human Capital Management staff for compensation changes and employee profile updates. May also provide back-up support to the V.P of Finance for general ledger requirements and month-end reporting, policy audit controls and processes and other assigned projects, as requested.


Responsibilities


+ Prepares and processes bi-weekly payroll for all employees and maintains supporting files and documentation.


+ Prepare weekly invoicing for all clients.


+ Investigates and resolves payroll discrepancies.


+ Maintains compliance with federal, state and local payroll regulations.


+ Reviews investigates/coordinates the resolution of all federal, state, and local tax notifications in conjunction with appropriate management personnel and ADP Compliance support.


+ Maintains human resource information system records and personnel files related to payroll activities.


+ Maintains employee participation data and ensures accuracy of participation between multiple systems.


+ Participates in developing department goals, objectives and reviewing new systems.


+ Participates in administrative staff meetings and attends other meetings and seminars.


+ Performs other duties as assigned, which may include preparation of manual checks and bookkeeping duties (journals entries, management reports, etc.) if required.


Requirements


+ Highly proficiency with computer-based software including Excel, ADP Workforce Now, WINTEAM, QuickBooks Online.


+ Ability to be organized and produce accurate results while meeting established deadlines,


+ Ability to manage multiple priorities with frequent interruption.


+ Ability to handle yourself in a professional manner with highly confidential matters.


+ Ability to learn in-house computer software (ie. MakeShift, Kelly Benefits, WINTEAM and Pentegra 401K Management Systems. etc.).


+ Extensive data entry skills, spreadsheet, and Excel “look-up” and “pivot table” proficiency required.


+ Ability and willingness to work in a paperless, cloud accounting environment using numerous technologies that streamline and automate certain HR and bookkeeping responsibilities


+ Proficiency with a desktop calculator.


+ Demonstrated customer services skills, ability to relate effectively and tactfully with all levels of the organization.


+ Ability to communicate effectively in both oral and written communications.


+ Ability to work individually and as a team member.


+ Demonstrate sound business judgment and best payroll and accounting practices.


Education and/or Experience:


+ 3 - 5 years of experience working complex and changing scheduling and payroll environments


+ Relevant degree or certifications in payroll or bookkeeping is required


+ Proven experience and knowledge in bookkeeping and reconciliations


+ Intermediate skill level with Excel spreadsheets, including development and manipulation of existing models.


+ Experience working in a collaborative firm with remote coworkers


+ Ability to interpret local, state and federal laws relating to payroll and accounting compliance.


+ Self-starter with the ability to work with limited supervision and direction


+ Must be dependable, efficient, and extremely trustworthy


+ An excellent problem solver
