Overview: The HR Coordinator will work as a part of the HR team and in collaboration with volunteer services and agency programs to ensure that potential volunteers and volunteers are receiving a welcoming and mission-based onboarding engagement experience. Responsibilities: Determine volunteer opportunities within various departments and respond to inquiries. Assist volunteers in exploring their interests/passions and match them to appropriate volunteer opportunities and programs.
Drafts, maintains, and publishes guidelines, best practices, and procedures for volunteer program. Assist staff in designing mission-based volunteer roles. Develop, in partnership with programs, position descriptions for the volunteer roles.
Recruits volunteer staff to fit these roles using a variety of resources and techniques. Post volunteer opportunities on external sites as needed. Responsible for the full background check screening and onboarding processes for all volunteers; includes initial screenings as well as renewals for existing volunteers.
Using the volunteer management system, assign onboarding requirements to new volunteers; monitor for completion. Partner closely with program staff and administrative departments for onboarding and off-boarding of volunteers. Coordinates volunteer recognition and appreciation events and activities.
Accurately track volunteer service hours using the volunteer management system. Develop and produce reports. Provide appropriate recruitment, management, supervision, agreements and reporting for programs that have interns.
In collaboration with the Communications Team and Development, assist with updating and maintaining volunteer information on website. Adhere to mandatory reporting laws and HIPAA requirements. Qualifications: Bachelor's degree, preferably in business or human resources or equivalent lived and or worked experience required.
Two years of directly related experience or indirectly related experience in Human Resources required, preferably in a non-profit environment. Minimum two years direct supervision experience. Knowledge of human resources practices and employment laws; experience in Oregon employment/wage & hour laws strongly preferred.
Previous experience with background check screenings strongly preferred. A minimum of two years progressive experience with an HRIS system; strong experience in ADP Work Now preferred. Ability to communicate concisely and effectively, both verbally and in writing in English preferred.
Bi-cultural competency preferred. Ability to effectively work with standard office programs including Word, Excel, Outlook, Microsoft Teams, PowerPoint. Must be able to organize and prioritize work, be proactive, take initiative, problem solve, initiative, problem solve, follow through, and simultaneously manage multiple priorities to ensure goals are met in a timely manner.
High attention to detail. Excellent written and oral communication skills. Ability to work well in team setting, as well as independently; be flexible and adapt well to different dynamics in a fast-paced work environment.
