Job Description

Sakura Square LLC is seeking an Operations Coordinator with the business, administrative and interpersonal skills to contribute to Sakura Square’s role as the cultural center of the Japanese American community.   

JOB SUMMARY:  The Operations Coordinator (OC) works closely with and reports to the Director of Business Operations and is responsible for implementing tasks for business operations functions.  This is a non-exempt, full-time position.

DUTIES AND RESPONSIBILITIES (includes but not limited to the following):

General Administrative

  • Assist with internal and external correspondence, communications, presentations and other documents

  • Assist with preparation of financial statements and annual budget

  • Utilize Google Platform to maintain office databases, spreadsheets and other internal documents

  • Liaise with internal staff at all levels and external customers and vendors

  • Maintain and order office supplies

  • Maintain physical and digital filing system for office documents

  • Manage and process accounts payable and receivable

  • Coordinate use of available rental space; provide timely response to inquiries

  • Update content on the Sakura Square website

  • Coordinate and assist with other projects and events

Operations Support 

  • Parking

    • Track and process monthly parking payments

    • Issue late notices to monthly parkers in a timely manner

    • Track sales of parking validations

    • Run parking income reports 

    • Implement special rates in the parking system

    • Maintain wait list for monthly parkers and promptly fill vacancies 

    • Inform staff of special events which require changes to the parking schedule 

    • Create and provide parking validations to commercial tenants, vendors and external organizations 

    • Maintain parking supplies, equipment and signage

    • Manage parking spaces during special events

    • Work with parking management/maintenance companies to schedule parking attendants, repairs and maintenance

  • Commercial Tenant Relations

    • Accurately track and deposit monthly rent, utilities and parking payments

    • Work with Director of Operations on maintaining leases and other legal documents

    • Coordinate communications between the management and commercial tenants

    • Coordinate with supervisor on late payment notices

    • Generate and distribute invoices in a timely manner

  • Meeting Support

    • Coordinate meals and refreshments for meetings

    • Coordinate A/V and recording needs

    • Assist with handouts and presentation materials

    • Attend board and committee meetings when requested

    • Archive board minutes and supplemental material 

  • Special Projects

    • Assist with special projects for management as needed (i.e. building CRM tools)

    • Attend and work special events when requested 

QUALIFICATIONS

  • 3+ years related work experience

  • Strong work ethic; dependable and prompt

  • Outstanding organizational, time management and problem resolution skills

  • Strong interpersonal, verbal and written communication skills

  • Team member, ability to interact effectively with all levels of employees

  • Problem analysis and problem-solving skills; good judgment and decision-making ability

  • Ability to work independently and initiate tasks

  • Able to multitask effectively and frequently reprioritize as needed

  • High level of discretion and confidentiality

  • Attention to detail and accuracy

  • Strong computer skills and experience with Google platform and Microsoft Office (QuickBooks a plus)

  • Knowledge of computer hardware and technical and A/V skills

  • Japanese language proficiency a plus

 ADDITIONAL INFORMATION 

Sakura Square LLC offers a competitive compensation package upon the successful completion of a 90-day qualifying period.  This is a full-time position requiring occasional attendance at events and meetings outside of office hours and/or on weekends.  The salary for this position is approximately $30-40K, negotiable and commensurate with experience.
