ABOUT THIS POSITION:

Traditionally a non-tech person in a tech company (though techy knowledge doesn't hurt and certainly won't count against you!), the Administrative Coordinator and Facilities Manager is a Jack or Jill of all trades. They're an integral part of the Humans, Admin and Accounting team that makes things happen behind the scenes. This individual supports our offices and every department in them. They also play a key part in ensuring an excellent client experience. Each day brings something different, but there is an expectation of predictability and process required for success.

Key Tasks and Responsibilities:

PROCUREMENT

+ Monitoring incoming email box from vendors and tracking orders

+ Preparing and receiving shipments

+ Preparing and receiving purchase orders in ConnectWise Manage

+ Processing orders

+ Quoting and processing renewals for maintenance licenses and warranty extensions; ensuring client accounts do not lapse

+ Create and follow up on PC quotes for clients

ADMINISTRATIVE

+ Providing primary reception coverage (phones and in person), and coordinating coverage when not in the office

+ Preparing rooms and procuring food for visitors and meetings

+ Helping maintain and archive paper files

+ Keeping kitchen and meeting rooms clean and ready for staff and guest use

FACILITIES AND COMPANY ASSET MANAGEMENT

+ Maintain accurate maintenance records on all company vehicles

+ Take vehicles in for necessary maintenance, and ensure they are safe and clean

+ Maintain stock levels on office and kitchen supplies at all facilities, placing orders as needed

+ Oversee maintenance of facilities and equipment not related to IT

+ Select, negotiate with, and manage vendors such as janitorial services, lawn care, and HVAC

SUPPORT DESK

+ Emergency backup coverage of Support Services Coordinators

+ Take incoming requests via phone and email, recording details

MARKETING AND SALES ASSISTANCE

+ Assistance coordinating and setting up events

+ Preparing mailings, including Mail Merge tasks

+ Proofreading

Required Qualifications:

+ Strong interpersonal skills, including a professional and pleasant telephone demeanor

+ Demonstrable written communication skills

+ High school diploma, preferably with additional higher education or training

+ Proficiency in the Microsoft Office Suite:

+ Outlook, Word - intermediate or expert level

+ Excel - intermediate level

+ PowerPoint - some working knowledge or ability to navigate

+ Type accurately at least 45 words per minute

+ At least 3 years of work experience in an administrative or customer service role in a business setting

+ Ability to identify basic computer parts and related equipment (e.g. cable modem, Ethernet port)

+ Ability to navigate and learn new software

+ Physical abilities to lift up to 30 pounds

+ Valid driver's license
