Biological Sciences and Veterinary Tech Department


Position Summary:

The Program Assistant reports to the Chairperson of the Biological Sciences/ Vet Tech Departments and is responsible for the coordination, implementation, and planning of administrative details such as requisition, inventory, and maintenance of equipment and supplies for the department.

Major Responsibilities Include:
  • Edit class schedules (add/remove classes, change dates/times/capacity/instructor of classes) each semester.
  • Complete adjunct contracts.
  • Complete requisitions for department supplies, institutional memberships, and contractual student paid fees.
  • Complete NYSAVT Student Membership Paper Applications to be sent and invoiced for VTS 149.
  • Schedule & coordinate Vet Tech HESI Exams.
  • Process Vet Tech Dismissals (Drop students from any VTS courses, place VT HOLD on account and mail/email dismissal letters).
  • Assist with AVMA data collection and formatting of report for Accreditation.
  • Keep track of and update Vet Tech Animal Hospital/Facilities Agreements & Memorandums of Understanding.
  • Request insurance certificates for Vet Tech Animal Hospitals/Facilities.
  • Complete annual department budget.
  • Create faculty appointment slots and links and email them to students so that students can easily schedule appointments with their advisors for registration.
  • Assist faculty with registering students.
  • Order Instructional Copies of Textbooks for faculty.
  • Run Banner reports for data collection, class rosters, and transcripts.
  • Maintain communication with Vet Tech Students through weekly mass email distribution updates regarding pertinent program information/updates.
  • Pick up/Drop off department mail/copies.
  • Organize student files.
  • Attend Administrative Assistant Monthly Meetings.
  • Attend Vet Tech Advisory Council Meetings.
  • Create excel attendance sheets each semester for faculty/adjuncts.
  • Request and keep record of adjuncts final attendance rosters with final grades.
  • Request and keep record of course syllabi/outlines each semester.
  • Assist with set up and coordination of Vet Tech Program Orientation.
  • Update all documentation for Vet Tech program.

Minimum Qualifications:

Associate's Degree; strong computer skills, including database/spreadsheet knowledge; ability to work independently and with all levels of staff and faculty; excellent interpersonal skills

And
  • Commitment to community college goals and objectives of providing quality programs and services for culturally, socio-economically, ethnically, and academically diverse students and students with disabilities; personal qualities to work effectively and with sensitivity in a multicultural environment; awareness of and commitment to the needs of non-traditional and/or re-entry students with diverse abilities and interests.


Desirable Qualifications:

Bachelor's Degree; research background preferred.

Salary:

All positions are contingent upon adequate funding with an initial salary of $40,800 per year.
