STV currently has a new opportunity in our New York Project Management Department for an Administrative Assistant to support STV's Building and Facilities team of Project Managers. The successful candidate must possess 5+ years of experience supporting diverse project teams in the Architectural, Engineering, or Construction industries with a myriad of responsibilities.

The person in this role will be responsible for a variety of daily administrative and project related responsibilities including, but are not limited to:

  • Scheduling meetings
    • Maintaining calendars
    • Preparing meeting agendas & taking meeting notes
      • Set-up and attend meetings
    • Coordinate and schedule one-liner meeting with Project Managers (PM's)

  • Reporting & Distribution of documents
    • Compile, print and distribute one-liners
    • Distribute CRM report
    • Prepare and distribute weekly PM reports
    • Update weekly labor report
    • Prepare and distribute weekly Discipline reports
    • Prepare and distribute WIP and AR reports
    • Prepare and distribute the variance report

  • Information tracking
    • Verify current Estimate-To-Complete by PM for each project is in file
    • Obtain submittals log, and review outstanding items
    • Maintaining staff rosters
    • Maintain deliverables calendar


Additional responsibilities will include:
  • Assisting with the on-boarding for new staff
  • Coordinate building security access
  • Preparation of expense reports
  • Preparation of travel arrangements
  • Assist with general typing
  • Assist with opening proposal numbers
  • Assist admin team with requesting security access for visitors and escorting visitors

Required Experience

Requirements:
  • Minimum of 5 years of professional work experience as administrative assistant,
  • Associates degree or higher required or equivalent
  • Must have expertise in all MS Office Applications, including Word, Power Point, Excel, Outlook and others. Must be willing to learn new applications as needed
  • Accuracy and efficiency are extremely important in this position
