Job Description

Under immediate supervision, performs skilled clerical and administrative office support related activities or complex quality control work. Work is performed with some latitude for use of initiative and independent judgment and may involve some confidential and sensitive correspondence and communications.
Answers the telephone, evaluates requests, answers questions and/or routes messages and screens visitors
Edits correspondence/production work for proper format, spelling, grammar, punctuation, typographical errors, syntax, style and sentence structure, content and clarity
Composes routing reports
Researches and collects information from the files or staff for routine inquiries
Maintains and updates office files/records/logs and suspense systems and a wide variety of automated systems in support of personnel, finance, budgeting, inventory, contracting, purchasing, and information
Receives, sorts, opens, evaluates content and distributes mail
Prepares, assembles, reviews, and verifies various documents and/or form
Schedules meetings, appointments and makes travel arrangements
Enters and retrieves data on a personal computer
Act as receptionist
Assist in the development and preparation of special reports
Use database and/or spreadsheet software applications to prepare reports
Run printouts and verify forms against computer printouts
Employee shall have the following minimum responsibilities:

Contact Direct Report for priorities, deadlines and special work assignments
Carry out assigned duties in accordance with established procedures meeting directed priorities and deadlines
Update Direct Report on progress and delays on every task or assignment
Meet established project deadlines
Submittal of accurate, legible, comprehensive and complete work
Safe usage and maintenance of company vehicle including use within company policy
Graduation from high school or GED certification. A person in this position generally, but not necessarily has a minimum of 3 years clerical, secretarial, administrative support experience. Related experience and/or education may be evaluated to substitute for on the job experience
Shall possess a valid driver’s license within the applicable jurisdiction and meet firm’s auto insurability requirements
Working knowledge of:

Document formatting
Grammar, punctuation and spelling
Personal computers and software applications
Spreadsheet applications
Word processing applications
Database management applications
Records maintenance procedures
Ability to:
Communicate effectively orally and in writing to communicate problems, status of work, daily reports, etc.
Lift 20 lbs.
Move 30 lbs.
Read and understand instructions, labels, reports, etc.
Prepare and maintain records, files, and reports
Maintain effective working relationships with internal and external personnel
Follow verbal and written instructions
Required to:
Present a professional appearance to best represent the firm
Wear personal protective equipment
Comply with all attendance requirements as noted in most current edition of Corporate Policy Manual
Skill in:
The use of database applications
The use of office equipment
Business telephone etiquette
The use of personal computers
The use of spreadsheet applications
The use of word processing software
Works inside
Potential exposure to equipment movement hazards and dangerous chemical/solvents if proper safety procedures are not followed
Exposed to noise, dust, fumes, radiant and electrical energy
May work protracted or irregular hours
Flexibility to work irregular hours due to client needs (i.e. other than 8 a.m. to 5 p.m. and/or other than Monday through Friday.)
Work related responsibilities require travel out of town to SCO Family of Services offices, client offices, and project locations
