Beverage Administrative Assistant

Job Summary

Beverage Administrative Assistant is an essential member of the sbe (Disruptive Group and C3) team. This role supports the Corporate Beverage Director through spearheading and completing administrative tasks in a timely and accurate manner. This role will include a wide variety of administrative functions and provide support with skill and professionalism. 

Responsibilities / Duties

  • Maintaining high volume, complex calendars for a growing team of professionals, including scheduling internal and external meetings with multiple parties across multiple time zones
  • Team event planning and facilitation including off-sites and training sessions
  • Taking detailed notes in meetings and circulating information to the greater Operations teams
  • Handles all internal and external communications within Beverage department
  • Create, maintain and share electronic drive sharing.
  • Creating presentations, newsletters, and other documents using Google slides and Google docs.
  • Organize team off-sites and events.
  • Managing general administrative duties, including processing expense reports
  • Work with Beverage team, Operations and Procurement department to order and procure needed items
  • Manage all internal beverage drive, communicate updates through corporate channels, beverage procurement, and sample ordering.
  • Manage all purchasing information; invoices, contracts and company credit card receipts ensuring accurate record keeping and timely submittal of documentation and (expense) reports to finance
  • Purchase and maintain supplies and ensure that the department is adequately stocked
  • Coordinate and maintain vendor and supplier information
  • Assist and help coordinate and document monthly inventory in outlets

Skills

  • Demonstrated competence with Windows based software including Microsoft Office, Word, Outlook, PowerPoint, OneNote and Excel
  • Ability to maintain confidentiality of sensitive materials and information
  • Excellent written and verbal communication skills, verbally and in writing
  • Knowledge of basic office equipment
  • Excellent organizational and multi-tasking skills
  • Accurate typing/data entry and editing skills; keen eye for detail
  • Ability to spot and resolve problems efficiently

Requirements

Work Authorization

Must be able to provide documentation that shows you are authorized to work in the United States.  Must be twenty-one (21) years of age.

Education / Experience / Credentials

Prior experience in hospitality is required. 2-5 years of administrative, office management experience or job-related experience in high volume and/or multi-unit Food and Beverage operations or upscale hotel/restaurant is preferred. High School Diploma or equivalent is required. Bachelor’s Degree preferred

Language

Must have the ability to speak, read, write, and interpret business documents in the English language. 

Travel

Some travel may be required.

This position will be based at the Corporate office in Beverly Hills, CA 90210. CDC and required protocols will be required when at the office.
