Analyst – Process Mapping

JOB DESCRIPTION:
Markets and Securities Services Operations has undertaken a large strategic programme of work that is due to complete in 2025. The programme covers predominantly change the bank activities however dovetails into discretionary business objectives as well as market mandated change and regulatory change.

To this end and to support the Americas change portfolio we require an analyst who is an expert in process mapping and is able to document and pictorially capture the trade and processing flows for all products in the region, primarily the US Securities products in all US entities & business lines.

Following flow mapping, the analyst must be able to summarise and convey the flows in a presentation style that can be understood with near-zero jargon and by a wide audience.

The role will require the interviewing/review of processes with key member of staff both in an office environment and remotely including analysis of data and the capture of anomalies that may be presented by differing technologies used to process

The successful candidate will be required to act independently and with flexibility; multi-tasking but still ensuring strong attention to detail, in line with project and control standards.

1. Ensuring that all analysis is performed to a high standard and in accordance with  project governance principles.
2. Engaging with all internal project stakeholders to ensure requirements are met cost effectively, on time & on budget.
3. Ensuring that all documentation is produced to the highest quality, on time and with appropriate sign-offs obtained.
4. Working closely with colleagues in BAU Operations, Technology and the Business to ensure that processes are in accordance with stakeholder expectations and regulatory / compliance protocols.

Impact on the Business
•BA responsibilities - production of process & technology flows documentation, liaison with Subject Matter Experts to define current and planned business flows, prioritization of developments and liaison with multiple stakeholders

•Global Markets Business – Americas regional business leads & COO community.
•Global Markets Operations – Americas regional ExCo.
•Internal IT and external vendors.
Leadership & Teamwork
•To work effectively within the global change team and build effective relationships with the Ops Line team, trading and IT counterparts
•Ability to work with staff at all levels; to work with SMEs but also present to Senior Management
•Support the relationship with key vendors to ensure effective delivery
Operational Effectiveness & Control
•Strong relationship building skills – to build and maintain effective relationships with both internal stakeholders and external vendors
•Ability to own and deliver projects from inception to post-delivery review.
•Global perspective
•Strong Change management skills gained through at least 5 years dedicated change experience preferably in a similar environment
•Good understanding of regulatory and commercial environment
•Excellent communication, escalation and issue management skills

Typical KPIs and Targets
•Articles delivered on time and to budget, key milestones met, stakeholder requirements met and issues managed
•Stakeholders sign off requirements on time & process maps are successfully delivered.
•Adaptability to flex the deliverables and timelines in accordance with defining and evolving priorities
•Positive feedback from stakeholders through day-to-day interaction & management
•Measurably closing the gaps between vendor product and bank  requirement
•Projects managed to time and budget
•Effective contribution to the global change programme in response to client needs
•Evidence of a high standard of project management, including standard of project documentation evidenced by appropriate turnaround times for requirements sign off and specification documents from vendors.
•Evidence of presenting cases to senior audiences
•Strong analysis and root cause determination of issues and clear solution identification.
•Flexibility in an environment of changing priorities
•Timely escalations at appropriate levels
•Increased global consistency of process, tools, procedures and controls.
•Sound RoI on change spend to meet internal and external client needs.

Management of Risk (Operational Risk / FIM requirements)
•Is aware of the Operational Risk scenario associated with the role and acts in a manner that takes account of operational risk considerations.

The candidate needs to understand
• Large scale change within a complex operating environment
• Front to back process improvement and the need for stakeholder engagement & management
• Operational risk requirements around generic practices such as payments

Observation of Internal Controls (Compliance Policy / FIM requirements)
•Maintains internal control standards, including timely implementation of internal and external audit points together with any issues raised by external regulators.
•Understands, follows and demonstrates compliance with all relevant internal and external rules, regulations and procedures that apply to the conduct of the business in which the jobholder is involved, specifically Internal Controls and any Compliance policy including, inter alia, the Group Compliance policy.
•Adheres to internal Governance policies and sign off procedures in line with best practice and audit requirements
Role Dimensions (e.g. balance sheet size, lending/expenditure limits, size/volume of transactions, budget. in USD’000)
•The role will need to manage projects to a pre-defined budget. All external spend will be authorized by the Global Head of Change Delivery or respective business programme sponsor.

QUALIFICATION DETAILS:

•The role requires the candidate to undertake detailed analysis and remain delivery focused. Furthermore, the successful candidate needs to take ownership of all aspects of their projects to delivery and review.
•All aspects across the people, process and technology dimensions need to be considered to ensure that change is effectively delivered into the organization.
•The candidate must have excellent relationship building skills and considerable experience working with external vendors along with an ability to manage sensitive relationships.

Major Challenges (The challenges inherent in the role that require a continual test of the role holder’s abilities)
•Sensitive internal business relationships requiring vigilance and precision to maximize benefit of the bank’s investment.
•Matric organizational skills, management of several key stakeholder groups in Operations, Technology and the business (front office COO).

What is the timeline, in terms of start and end date? Is there any chance for extension or conversion later on?
Start asap, potential for extension very likely but perm placement unlikely.

Does your team work standard core hours or does that vary?
8am to 5pm Monday - Friday

Can you tell me about the physical work environment where the person will sit? Will they be assigned a desk or set up as remote?
Working 2 days a week in office and 3 remotely.

•Ideally holding a formal project qualification, for process mapping.

•Good understanding of operational risk
•Excellent relationship building skills with both internal and external stakeholders
•Very strong communication, escalation and issue management skills.
•Operations experience at a top tier broker or Investment Bank
•Preferred but not essential;
•Knowledge of trade life cycle for Markets.
