Royal Construction is hiring for a Appointment Center Manager to help process leads, set up estimate dates, provide customer solutions are just a few roles to be done in the Appointment Center as the Manager. The Role of the Appointment Center Manager
A great Appointment Center Manager is key. Someone who sees value in unscheduled, cancelled, and unsold customer records and wants to mine them for every nugget of gold. Someone who can build and motivate a team. Someone who can see the big picture, but is detail oriented enough to see the details and compile result statistics.
Appointment Center Manager Job Duties
1 Become a Biz Wiz expert.
2 Track all leads to ensure the highest possible conversion rate for each role.
3 Get to know the Marketing Department (upstream) and the sales and service department (downstream, internal customers) well.
4 Maintain updates of sales rep availability in BizWiz calendars. Provide ACR’s with updated sales availability charts.
5 Perform daily schedule reviews to ensure that sales reps are booked properly by lead type, geographic area, and maximum number of appointments for each. Make sure there are no holes in the schedule.
6 Meet weekly with Sales, Marketing and Service for team building and development of positive and productive working relationships.
7 Conduct a training and team building meeting with appointment center staff once a week as a group.
8 Conduct one on one check in meetings with individual ACR’s bi-weekly. (Use Ready-Aim-Retain and Take the Lead).
9 Perform quality assurance calls for the sales department on all cancelled appointments, no shows, and dead lead requests from salespeople. Connect with customers to make sure we have provided every avenue of help possible.
10 Maintain commissions due for ACR’s and provide to payroll department weekly.
11 Maintain work schedules for ACR’s for daytime, evening and weekend hours. Generate and monitor a role rotation calendar.
12 Review reporting to determine needs for outgoing call directions based on need of appointments vs lead flow to ensure full schedules for all salespeople.
13 Maintain healthy and encouraging communications with sales staff ensuring all needs are met such as immediate replacement of failed appointments.
14 Review call recording of appointment center reps to ensure WOW service is being provided. Create training exercises based on call content for appointment center staff.
