Performs day-to-day office functions of the dental clinic, as assigned by the Dental Clinic CSR. This includes answering incoming calls, scheduling patient appointments, registering patients, and collecting payment fees for dental visits. Provides courteous, unbiased, and professional service to patients and assists other clinic staff as required.


JOB RESPONSIBILITIES:  Answer phone calls and transfer calls to appropriate staff when necessary. Take and disperse messages appropriately.

 Schedule appointments for dental providers, monitor cancellations, and reschedule appointments.

 Register scheduled patients and ready the electronic patient chart for the provider encounter. This also involves noting any changes in patient information in the electronic patient record.

 Ready incoming patient files for next-day appointments.

 Interview patients to obtain basic demographic information and update patient files as needed.

 Apply the Center’s sliding discount scale and understand insurance plans, working with insurance representatives to finalize patient payment plans and fees.

 Assist patient in completing medical history forms.

 Collect payment of fees for current and previous visits, provide receipt of payment to the patient, and respond to patient account questions.

 Maintain the physical condition of the waiting area and patient bathroom.

 Coordinate patient flow with the dental assistants and the dental provider.

 Coordinate patient recall system.


 Responsible for ensuring courteous and timely telephone service, patient scheduling, registration, patient flow, check-and checkout.

 Assure accurate and timely collection and data entry of required patient demographic, insurance, and household income information.

 Assure accurate and timely performance of end-of-day and other processing as required.  Safeguard cash and checks from collected payments.

 Resolve problems promptly and accurately, reflecting a helpful and professional customer service attitude.

 Ensure a seamless experience for patients by coordinating functions between the front office and clinical areas.

 Maintain patient confidentiality in all areas of operations.

REQUIRED QUALIFICATIONS:  High school diploma or G.E.D.  One year of customer service experience  Working knowledge of computer applications such as word processing, spreadsheets, and email systems  Previous experience in the operation of office machinery: personal computers, printers, copiers, fax machines, postage machines, telephone systems  Ability to record and transmit detailed information  Ability to interpret and comply with applicable policies and regulations  Well developed written and oral communication skills  Ability to exercise good judgment in evaluating situations and making decisions  Ability to use tact and sensitivity to timing in personal transactions  Ability to reach, stoop, walk, and lift 25 lbs  Adequate vision.
