Clinical Education Specialist

Clinical Education Department is seeking a specialist to provide support of clinical training, fellowship and customer education by executing tasks association with events, compliance and health care provider assessment. Position viewed as a key functional resource; handling confidential and sensitive information, where extensive knowledge of business concepts, procedures and practice will be applied. The ideal candidate is highly organized, possess strong work ethics, effective verbal, written and presentation skills to interact with management, field sales, customers and other external contacts, exceptional follow-up, follow-through, attention to detail and able to work across various functional groups in a time sensitive and multiple projects environment. Duties and Responsibilities

• Event management

• Super user of CVENT

• Maintain spreadsheets and documentation around educational programs

• Establish strong relationships with key internal and external customers, serving as a liaison for initiatives

• Communicates proactively to key internal and external customers, managing expectations, timelines and processes

• Maintain projects/events within identified budgets ensuring cost-saving measures and adherence to compliance guidelines

• Acquire and maintain knowledge of Meetings and Events industry trends and best-in-class practices as related to responsibilities

• Gather and prepare data in preparation of upcoming projects and identify future needs to complete projects

• Manages work in a confidential manner, ensuring information is shared with internal and external individuals in an appropriate manner

• Develop basic knowledge and understanding of the Neuromodulation business

• Processing grant submissions and payments

• Preparation for national and local events from materials to customer experience

• General administrative support including calendar organization, expense reports, filing, copying, scanning, document management and invoicing

Required Qualifications
• Associate’s degree
• Extreme proficiency in Microsoft Office, Word, PowerPoint, Excel and Outlook
• Able to work flexible hours, potential overtime and potential weekend events

Preferred Qualifications
• Contract compliance and event planning experience
• Experience in medical device or highly regulated environment
• CVENT experience

Physical Environment/Working Conditions (e.g. assembly line, lifting requirements): Up to 80 lbs.

Specific responsibilities:
• CVENT daily management
• Support team of 9 managers
• Hotel Contracts-national and local events
• Event Support and debrief
• Travel management including attendee air travel, hotel rooming lists for both external and internal customer and transportation
• Organizing and shipping supplies and equipment for events
• Strategize, planning and execution of onsite deliverables
• Ensure all required local and national government compliance policies are followed as well as internal company policies
• Daily management of simulator systems including tracking systems and working with field personnel to coordinate shipping and receiving
• Processing grant submissions and payments
• Types correspondence and prepares/edits presentation materials, maintains calendar, maintains project lists, schedules meetings, and maintains legal reference materials.
• Prepares legal and financial documents, including letter of agreements and annual financial reports.
• Regularly interacts with executive personnel.
• Answering communications from internal and external customers and directing personnel to various resources outlining the grant process
• Preparation for meetings including scheduling, preparing and hosting monthly review meeting with executive personnel
• Confirms all grant recipients are not debarred
• Ensures all grants are recorded and tracked as required by federal government laws
• General administrative support including calendar organization, expense reports, filing, copying, scanning, document management and invoicing
