LOCATION: Oakland, CA; currently 100% remote
HOURS: Full time, exempt
SALARY: Starting at $70,000, commensurate with experience and location

The Opportunity

Resource Development Associates (RDA) seeks an experienced Operations Manager (OM) to consistently promote and improve employee efficiency/productivity, quality/effectiveness, and satisfaction/engagement by analyzing operations, strategizing improvements, and driving their implementation. This will include regularly seeking employee feedback to support the evaluation and enhancement of RDA policies, procedures, tools, and resources. The OM’s focus and primary goal is to ensure that RDA operates smoothly and has an infrastructure that is well-positioned for sustainability and growth. This is a mid-management position with opportunity for advancement.

What You’ll Achieve in Your First Year

As Operations Manager, you will utilize your skills in this pivotal team role to significantly contribute to the achievement of RDA’s operational excellence. Every day and every project are different, and we are constantly learning, but here is a sample of what you can expect to experience in your first year:

Organizational Health

  • Ensure operations and administrative policies and procedures are as streamlined and effective as possible
  • Source, manage, and serve as the primary liaison for business vendors to meet organizational needs, enhance efficiencies, and realize cost savings where appropriate
  • Provide timely and accurate responses to information requests from internal and external customers and vendors
  • Support the organization’s evolving transition to a hybrid work model and changes to RDA’s physical office space

Information Technology

  • Serve as the primary liaison with RDA’s outsourced IT provider
  • Serve as the in-house expert for RDA’s online integrated project, people, and financial management system
  • Instruct staff on how to use RDA’s technology resources, including how to run needed reports and troubleshoot common issues
  • Support RDA’s transition of shared drive folders and files to the cloud; work with HR to maintain paper and hard drive records as necessary for compliance
  • Identify and evaluate new technologies to support organizational efficiencies, client engagement, and project effectiveness; support implementation as needed
  • Support all data security and privacy efforts to ensure compliance with statutory regulations and client contracts

Project Support

  • Support business development operations with quality assurance in project setup, maintenance, and closure; completion of forms; and acquiring necessary insurance or other documentation
  • Streamline and execute project contracting processes, file management, and completion and submission of required forms and documentation
  • Support project leaders as needed throughout client contract negotiations and coordinate timely contract execution
  • Coordinate subcontractors, including IT setup, contracting, and invoicing
  • Lead quality assurance efforts, such as ensuring projects are executed in alignment with contract requirements  
  • Assist project teams with meeting coordination and setup, travel logistics, and other project needs (e.g., stipends for participants) according to contract guidelines

Risk Management

  • Maintain official business licenses, certifications, and insurance
  • Ensure regulatory compliance and alignment of operational processes 
  • Drive and support quality improvement initiatives throughout the organization
  • Improve and update documentation of all RDA core processes
  • Evaluate and report on inefficiencies and compliance threats that need to be addressed

About You

  • At least five years of relevant experience
  • In-depth knowledge of organizational effectiveness and operations management
  • Experience with ERP and CRM software solutions (e.g., Unanet, FinancialForce, etc.) preferred
  • Ability to learn new software applications as needed
  • High fluency with Microsoft Office and Google Suite
  • Demonstrated ability to effectively work both independently and collaboratively
  • Intrinsically motivated and a quick learner
  • Ability to present information effectively for technical and lay audiences
  • Excellent organization skills, work habits, verbal and written communication skills
  • Ability to manage multiple tasks simultaneously
  • Ability to carry out responsibilities with a growth mindset
  • High level of integrity, ethics, and confidentiality
