Job Description

Position Summary

The Executive Assistant is responsible for providing executive support to the Chief Financial Officer, Chief Legal Officer, and Chief Human Resource Officer and for managing the daily operations of Redwood Trust’s Mill Valley office. This role acts as a steward of the overall experience of Redwood Trust’s Mill Valley office and works closely with the Chief Financial Officer, Chief Legal Officer, and Chief Human Resources Officer on a variety of tasks. This is a full time, non-exempt position that is located onsite in our Mill Valley office Monday through Friday.

Responsibilities & Duties

Executive Support

  • Provides administrative support to the CFO, CLO and CHRO including:
    1. Coordinating travel arrangements
    2. Managing and maintaining calendars (as needed)
    3. Managing expense reports and invoices
    4. Developing communications including PowerPoint presentations
    5. Other general administrative duties as requested
  • Provides project support on a variety of areas including:
    1. Investor relations and corporate communications
    2. Coordinating materials for special events such as internal and external meetings, conferences, etc.
    3. HR initiatives and events
    4. Legal initiatives and projects
  • Acts as back up administrative support for CEO, President, and CFO including:
    1. Managing and maintaining calendars 
    2. Coordinating complex travel arrangements 
    3. Managing expense reports

Office Management

  • Takes ownership of the daily operations and standards of Redwood’s Mill Valley office including:
    1. Maintaining the overall appearance of the office and conference rooms and coordinating any service, repairs, or cleaning required with landlord, building engineer, service vendors, contractors, etc.
    2. Working collaboratively with the IT team to identify and address ongoing issues, and directing staff to the appropriate IT team member(s), when necessary
    3. Recommending, communicating, and implementing office procedures, including emergency back-up plans
    4. Maintaining office safety and security procedures including the badging system
    5. Maintaining an appropriate inventory of office and kitchen supplies, including snacks and beverages
    6. Ensuring office equipment is functioning correctly and coordinating with the appropriate service provider for any required repairs
    7. Processing invoices related to the office and tracking against the office services budget
    8. Coordinating outgoing mail and delivery services and routing incoming mail and deliveries
    9. Serving as the point person for visitors to the office
    10. Communicating relevant office information or events to leadership and employees 
    11. Responding to office related requests and developing an efficient plan to alleviate any concerns
    12. Planning and implementing office events such as lunches, happy hours, etc.

 Required Education, Experience, & Skills

  1. 5+ years of experience supporting senior level executives; office management experience preferred 
  2. Experienced and skilled at managing complex executive tasks in a fast paced, continuously evolving environment with professionalism and discretion
  3. Excellent verbal, written, presentation and interpersonal communication skills
  4. Strong computer skills including the Microsoft suite (Outlook, Word, Excel, PowerPoint); experience working with Zoom and other remote meeting technology
  5. Strong organizational skills and exceptional attention to detail
  6. Positive and solution-oriented attitude; ability to stay calm and composed when issues arise
  7. Strong customer service orientation
  8. Bachelor’s degree or equivalent experience
