Personal Assistant / Administrative Assistant for Busy Real Estate Firm

Personal Assistant / Administrative Assistant to CEO for fast paced Real Estate business. The candidate must be energetic, highly organized and ready to respond to quickly to changing environment with poise and attention to detail.

This is a Part Time position to start – 10am-2pm M-F with additional hours as needed  and possibility of conversion to full time employment as company needs evolve. Pay DOE.

Education/Experience

-          Clean CA Drivers License and reliable transportation REQUIRED (mileage reimbursed)

-          Write/speak English language fluently required

-          Some Office Experience preferred

-          Operation of office equipment (phone distribution, postage, fax, copier machines) a plus

-          Moderate computer and Software training required

-          High School Diploma or equivalent preferred

 

Description of Physical Demands

-          Sit/type for long periods of time

-          Stand/Walk for long periods of time in/out of office  including walking up/down stairs with/without elevators and uneven surfaces

-          Keep up with demands of fast-paced environment

-          Driving to and from appointments

-          Listen/Speak for long periods of time

-          Lifting from time to time (up to 35 lbs)

-          Typing speed above 35 wpm for long periods of time.

-          Comfortable in a business/sales/leasing environment

-          Friendly and outgoing personality with the ability to function well in any social environment

-          Excellent people and customer service skills

-          Excellent written and verbal communication skills

-          Computer (Outlook, Publisher, Word, Excel, etc.) and internet literate

-          Excellent time management

-          Strong reporting skills

-          Ability to multi-task and work in fast paced environment

Essential Functions of the job

 

-          Answer moderate-heavy office/cell phones

-          Errands such as lunch, shopping, and other day to day tasks.

-          Manage selected incoming and outgoing executive communications

-          Address management issues, dispatch vendors, authorize work, follow through on projects, and coordinate with other specialists for creative solutions

-          Create/administer spreadsheets, lists, tasks – get things done!

-          Effective problem solving, prepare for potential challenges

-          High degree of autonomy and discretion

-          Administrative work (filing, tenant/owner correspondence & record keeping, maintaining a neat an organized office, etc)

-          Liaise for business/family/household staff/vendors/travel

-          Maintain and update files

-          Responsible for all administrative tasks and reports

-          Assist with additional needs and projects as directed by CEO and or managers
