This is a 60% Remote position, however availability to be on-site 1-2days a week is required
Who You Are:
A professional with experience supporting executive level staff and non-profit boards of directors. You pride yourself on your attention to detail, professionalism, communication skills, flexibility, and ability to manage a variety of tasks with equally important deadlines. Duties/Responsibilities:
§ Provides high-level administrative support and assistance to the Executive Director and leadership staff.
§ Acts as the point of contact among the executive director, employees, Board of Directors members, vendors and other external partners
§ Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.
§ Assists Executive Director in managing calendar and foundation meetings.
§ Arranges travel and accommodations for executives and other staff.
§ Schedules and attends meetings, taking notes and records minutes.
§ Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
§ Performs office tasks including maintaining records, working with controller and CPA to ensure distribution and maintenance of financial records.
§ Coordinate billing, payment, and audit activities with executive, controller, CPA and external parties.
§ Manages the physical space by keeping up with office supply and maintenance needs.
§ Organizes and maintain the office filing system logically and efficiently
§ Supports the work of the foundation and its commitment to grantees.
§ Performs additional duties as assigned by executive.
Required Skills/Abilities:
§ Excellent verbal and written communication skills.
§ Excellent organizational skills and consistent attention to detail.
§ Excellent time management skills with a proven ability to meet deadlines.
§ Ability to work independently, while recognizing tasks that require executive attention and action.
§ Ability to manage competing priorities.
§ Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
§ Extremely proficient with Microsoft Office Suite with the ability to learn new or updated software.
§ Ability to attend occasional early or late meetings, and flexibility to work remotely or in the office.
§ Ability to travel, infrequently, within Colorado for meetings.
Education and Experience:
§ High school diploma required; Bachelor's degree in a related field preferred.
§ At least five years of related experience required, foundation experience preferred
Physical Requirements:
§ Prolonged periods sitting at a desk and working on a computer.
§ Must be able to lift up to 25 pounds at times.
Benefits:
Compensation range: $24-26/hr 25 hours/wk
