Job Description
We are looking for a multi-tasker with excellent communication skills and an upbeat attitude to join our growing team. This position is responsible for clerical and operational support to ensure overall efficiency in the daily function of the team.
Key Responsibilities: Create and manage correspondence, invoices, contracts, meeting minutes, reports, presentations etc. using Microsoft Office Suite applications. Coordinates internal and external meetings which may involve scheduling meeting times, making travel arrangements for senior leaders and attendees, and ensuring that various meeting amenities are available. Manages the appointments and schedules of executive leadership. Uses office equipment such as photocopiers, faxes, and printers. Additional responsibilities may include distributing incoming mail, preparing outgoing mail, filing, maintaining office supplies or another inventory. Decisions are typically focus on interpretation of area/department policy and methods for completing assignments. Works within defined parameters to identify work expectations and quality standards, but has some latitude over prioritization/timing, and works under minimal direction. Follows standard policies/practices that allow for some opportunity for interpretation/deviation and/or independent discretion.
Perform usual office duties, i.e., phones, mail, greet visitors and respond to general inquiries
Engage with various levels of leadership, handling confidential information
Supporting C-level executives
Sort and forward incoming mail and deliveries as well as process all outgoing mail
Maintain office supplies
Support special projects such as company meetings and trips
Point of contact for office building management
Take on ad hoc projects as needed
20% local travel required
Required Qualifications:
Bachelor's degree
0-1 years of experience as an Administrative Assistant or related profile will be the add-on.
Proficient in Microsoft Outlook, Word, Excel, and PowerPoint
Experience in Advanced Excel
Excellent verbal and written communication skills
Strong organization skills and attention to detail
Ability to balance multiple initiatives, projects and prioritize workload
Ability to manage multiple calendars and provide support within the Leadership team
Capacity to maintain confidentiality and work independently in support of the department
The candidate is expected to travel often for the regular tasks e.g., Bank Deposits
