Job Title:      Finance and House Operations Director

Reports To: Executive Director

Status:         Full time Administrative Position – Salaried Exempt

Hours:          Minimum 40 hours per week / 8 a.m. – 5 p.m. Monday thru Friday

                     (Some weekend and evening hours as requested. Some travel expected)

JOB SUMMARY:

The Finance and House Operations Director is responsible for all aspects of planning, direction and oversight of the operations and programs of the Ronald McDonald House of Western Michigan. This includes administration, finance, guest support and facility management. In consultation with Executive Director, develop strategies to achieve the organization's focus of providing care and comfort to families with children in medical crisis.

 

GENERAL RESPONSIBILITIES:

 

Family Services Program

  • Engage in strategic and long-term planning for House growth and stability.
  • Responsible for all operations related to guest-based programs and services.
  • This individual also supervises the Family Services Manager who manages the part-time staff providing 24/7/365 coverage of the House. Creates and maintains a culture which is proactive and results oriented but also nurturing and family centered. Ensures cross training with staff on essential functions. Establishes benchmarks and metrics to evaluate staff and operational performance.
  • Maintain collaborative and continuous relationships with primary referral sources: Spectrum Health's Helen DeVos Children’s Hospital, Mary Free Bed Rehabilitation Hospital, Mercy Health and Forest View Hospital.
  • Provides family occupancy reports to ensure ongoing evaluation of the effectiveness of guest programs for Executive Director, Board, and standing committees.
  • Together with the Family Services Manager, proactively identifies new guest programs to address changing needs.
  • Oversees new House staff hiring, onboarding, and evaluation of House staff performance.
  • Participates in Board, Governance and select Executive Committee meetings.
  • Maintains proactive maintenance and repair programs in line with budgeted costs.
  • Maintains and reviews all vendor contracts and capital expenditures
  • Designs, evaluates, and manages documented systems and procedures to ensure efficient, compliant, and effective operation of programs and facilities.
  • Manages the House network, telephone, software, and technical equipment.
  • Supervision of construction and capital projects to ensure on time and on budget completion.
  • 5-7 years non-profit leadership/management experience in progressively responsible positions or 3-4 years’ experience in hospitality industry
  • Bachelor’s degree required
  • Ability to work collaboratively with a wide range of people and personalities
  • Excellent organization skills, verbal, and written communication skills; detail oriented. Works independently.

Finance:

  • Responsible for management of accounts payable, receivable, credit card and accounting/audit vendors. Tracks and manages house budget, expenses, and inventory.
  • Supervises and/or prepares all organizational information for a successful yearly audit.
  • Works with the Executive Director on organizational budgets for Board approval and monitors House expenses.
  • Manages restricted funds to ensure compliance with awarded grants.
  • Oversees the process of Medicare reimbursement to maximize yearly reimbursement and minimize write-offs.

 

Operations:

  • Participates in all RMHWM events as needed.
  • Performs other duties as required

  • 5-7 years non-profit leadership/management experience in finance and operations progressively responsible positions or 3-4 years’ experience in hospitality industry
  • Bachelor’s degree required; Finance preferred.
  • Ability to work collaboratively with a wide range of people and personalities
  • Excellent organization skills, verbal, and written communication skills; detail oriented. Works independently. Strong teamwork philosophy.
  • Ability to maintain confidential information
  • Advanced working knowledge of Microsoft Office package
  • Outstanding oral and written communication skills
  • Demonstrated non-profit leadership and management skills in operations and finance
  • Demonstrated ability to work with Database Management Systems
  • While performing the duties of this job the employee is regularly required to walk, sit and stand; use hands to finger manipulation, handle, feel, reach with arms and hands, and talk or hear
  • The employee will be required to lift to 25 pounds
  • The vision requirements include close, distance, peripheral and depth perception
