We are looking for a full time Dispatcher/Admin Assistant for a very busy service plumbing company. You will be directly responsible for scheduling service appointments and providing customer communication. Support of service operations and providing good customer relations by scheduling service technicians to jobs to achieve maximum efficiency and minimal wasted time in the provision of service.
►Plan the work day and manages the time of service technicians. Remain knowledgeable of skill levels of technicians to properly execute duties of job.
►Dispatch service to appropriate technician using proper radio and dispatch codes based on workload, technician's availability, technician's expertise and priority of need.
►Make recommendations for service, new equipment and maintenance contracts and warranties as appropriate.
►Accept and process service orders and schedule appointments for service.
►Perform record management by creating folders, filing and updating information as needed.
►Process credit card transactions to secure appropriate approval codes.
►Send out thank you notes, gifts certificates, mailers, or any other customer service correspondence necessary.
►Assist other departments as needed and perform other duties as assigned.
►Communicate with service technicians to answer inquiries and provide information.
►Place calls to customer to verify availability for service calls.
►Maintain call tracking information and work order requests. Follow-up on open calls over extended periods of time.
►Telephone customers to schedule preventative maintenance appointments.
►Receive incoming telephone calls from customers and enters customer data into the computer.
At least one year of experience in real-time service dispatching is required. experience with Service Titan dispatching software is a huge plus. Must be computer literate. Must have strong communication, interpersonal skills, and experience providing great customer service and support.
You will need a willingness to learn, follow instructions. You must be able to answer phones, have computer skills, do billings, payroll, and Quickbooks. You need to be neat, be friendly, have good communication skills, a positive attitude with strong organizational skills, and pay attention to detail. You will be expected to deal with customers, contractors, and business accounts on a daily basis.
