Office Assistant

Overview:

Performs all secretarial and administrative duties including but not limited to word processing, spreadsheet reports, data entry, and management of departmental and employee files.

Schedule: Monday thru Friday, 8:30 AM - 5:00 PM

Essential Duties and Responsibilities:

  • Perform routine and specialized administrative duties for the company President and Managers
  • Screen phone calls and refer callers to appropriate staff member in a professional and courteous manner
  • Manage the scheduling and arrangement of meetings, conference calls, seminars, travel plans and the compiling, preparing and distribution of materials for same
  • Maintain business development files, records and reports, including electronic files of contracts.
  • Maintain confidentiality of privileged and sensitive information related to the company and personnel
  • Maintain and update office manual and employee handbook

Secondary Duties and Responsibilities:

  • Communicates effectively with co-workers and clients. Treats others with consideration, courtesy and respect.
  • Performs various and related duties as may be deemed necessary or as may be directed by management
  • Maintains a safe environment in accordance with QualCode’s policies and safety regulations

Customer Service:

  • Interacts with co-workers and clients in a considerate, helpful, and courteous manner
  • Demonstrates sensitivity to cultural difference
  • Displays a positive attitude within the organization in support of the organization’s programs and mission
  • Promotes effective working relations and works effectively as part of a department/unit team to facilitate goals and objectives
  • Maintains confidentiality of all hospital and patient information
  • Presents neat appearance in proper attire and identification as required by position and company policy
  • Fosters mature professional relationships with fellow employees

Skills:

  • Very strong computer skills with proficiency in MS Office (Outlook, Word, Excel, PowerPoint, Access )
  • Excellent written and oral communication skills
  • Enthusiastic and pro-active, with an ability to work either independently or in a team environment
  • Ability to exercise professionalism, poise and tact in all verbal and written correspondence both internally and externally
  • Strong organizational skills and attention to details
  • Ability to project a professional image over the phone and in person
  • Willingness to take initiative and complete projects independently
  • Strong time management skills
  • Capable of working in a fast paced environment and handling multiple projects simultaneously

Experience/Education Requirements:

  • High School Diploma
  • Minimum of three year’s office experience
  • Experience working in healthcare industry desirable
  • Proven record of dependability and ability to exercise discretion
