Hiring: Operations Manager

Exempt: Salary Rate: $75k - $85k annually - based on skills

Hours: 9 - 5, with some flexibility Days: Monday - Friday

Location: Washington, DC 20005, local remote

Job Summary:

The Operations Manager is responsible for the management, coordination, and support of all the systems and processes that enable the diverse team members to perform their responsibilities and for the organization to steward its resources responsibly. A close partner and support to the Managing Director, the Operations Manager is especially responsible for supporting our finance practices including but not limited to supporting budgeting cycles, tracking revenue and expenses, issuing external payments, and reporting to ensure compliance and effective oversight by leadership and the Board of Directors. The Operations Manager also supports the implementation of other organizational systems such as our CRM, managing the organization's email account, and supporting our talent management systems.

What you'll be doing:

  • The Operations Manager is responsible for managing with a high degree of confidentiality all information related to talent management that they may gain access to as part of their duties in support of organizational systems.
  • Manage office expenses and issue external payments under the direction of the President & CEO and Managing Director.
  • Assist compliance consultant with FEC compliance report monthly filings, serve as Treasurer in the organization's political committees, ensuring the information provided in reports is accurate and reports are submitted in a timely manner.
  • Work with the Managing Director and leadership team to track monthly office expenses, and manage bank accounts and company credit cards. Ensure team leaders have access to timely and accurate information to make budgetary and programmatic decisions.
  • Manage the organization's banking information, serving as a liaison with the bank representative assigned to the organization to ensure information is up to date.
  • Provide clear reporting of the organization's finances that enables effective and efficient oversight by the leadership and the Board of Directors.
  • Manage general HR-related duties in-house and with contractors and carriers including managing a list of vendors, benefits insurance information including health care, 401K, and bereavement leave, 990 tax filing to ensure it's filed in a timely and accurate manner, and other duties as needed.
  • Manage incoming and outgoing mail as required.
  • Manage organization-wide email accounts, domains, and other IT-related tasks as needed.
  • Assist in planning and executing the organization's events, including but not limited to Latino Victory signature programs events, panels, and fundraisers.
  • Support the Managing Director in the oversight of the team by managing, crafting, and executing effective internal communications.

  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Able to work independently.
  • Associates degree preferred.
  • Three to five years of experience in an administrative role.
  • Bilingual in Spanish preferred.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
