The Position:

The Human Resource Coordinator is responsible for day-to-day coordination of Purple Staffing and Talent Operations. This coordinator-level role performs various tasks and functions relating to human resources operations including payroll/benefits assistance, compliance, recruiting, on-boarding, and other technical and administrative duties.

What You'll Do: 

Provide operations support to the HR & Talent Operations Manager and perform day-to-day routine HR administrative tasks that may include but are not limited to:

General HR Administration

  • Manage internal recordkeeping: assemble and maintain employment records in cloud database format and ensure regulatory compliance and best practices in recordkeeping
  • Assist/back-up HR & Talent Operations Manager in bi-weekly payroll processing and benefit administration
  • Assist HR & Talent Operations Manager in all employee health and welfare plans administrative tasks including enrollments, changes, and terminations
  • Prepare required documents for payroll and insurance providers
  • Assist in annual open enrollment (i.e., communicate changes to employees, answer questions, interface with broker and benefit vendors, manage deadlines)
  • Assist with regular performance review process, tracking progress of tasks across the organization and maintaining timelines
  • Assist in the adjudication of claims, discrepancies and issues/questions, and requests for information from carriers, brokers, payroll, and employees
  • Administer COBRA and ACA requirements through the designated vendor
  • Establish and maintain positive working relationships with vendors and consultants who provide HR services and expertise.
  • Respond to state unemployment claims and other required agency notices
  • Participate in and contribute to Purple event-planning and communication efforts
  • Complete employment verifications for staff and generate confirmation letters, as needed

Recruiting & On-Boarding Coordination

  • Assist HR & Talent Operations Manager in standardizing job descriptions, posting jobs to our Applicant Tracking System (ATS) Greenhouse, as well as recruitment sites and social media.
  • Update tracking records of recruiting and onboarding efforts, proactively managing timelines
  • Perform basic reference checking and administering requests for third-party background checks
  • Schedule and coordinate interviews and internal hiring meetings
  • Serve as alternate contact for new hire leading up to first day
  • Prepare new hire welcome materials; obtain client specific information from Client Team Lead and HR & Talent Operations Manager
  • Ensure new hire first day readiness: IT coordination, office access, paperwork sent and completed
  • Schedule new hire orientation sessions and function as back-up presenter

HR Systems Support

  • Maintain candidate information in the Applicant Tracking System (Greenhouse)
  • Enter and maintain data in HRIS/payroll system ensuring accuracy, timeliness, and compliance of employee and company information
  • Update employee data in Benefits System (Employee Navigator)

What We're Looking For:

  • 2-3 years of experience in Human Resources, Recruiting, Administration, or related field
  • Proven work experience as an HR Administrator, HR Administrative Assistant, or other relevant experience (Executive Assistant, Scheduler, etc)
  • Experience with database management, especially HR software (Greenhouse, Employee Navigator, and Paylocity highly preferred)
  • Computer literacy with Mac hardware and Microsoft Office suite (strong Excel and Outlook capabilities in particular)
  • Proactive and collaborative; team-player attitude and a drive to find solutions and effect change rapidly
  • Excellent organizational skills, with an ability to prioritize important projects
  • Strong phone, email and in-person communication skills
  • Ability to prioritize own work effectively
  • Certification in HR is a plus

Physical Requirements:

  • Occasional travel may be required
  • Routine office presence is an essential component of the function
