Summary:

This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism, diplomacy, discretion and confidentiality. Responsible for assisting Chief Executive Officer (CEO) of a non-profit organization to provide high-level, confidential administrative support in clerical, administrative and project-based operations. This function includes scheduling travel, arranging meetings, handling information requests, preparing reports and correspondence and being a liaison with board members.


Job Responsibilities:

  • Conserve CEO’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications.
  • Perform Nevada Billing for the Services lines performed under the contract with Desert Regional.
  • Assist with daily operations as it relates to the CEO.
  • Review and maintain Project ReDirect’s contract
  • Review Remittance advise for accuracy and details.
  • Responsible for business development by identifying new opportunities for expansion in all facets of the business.
  • Maintain business licenses for all of Project ReDirect.
  • Assist Program Managers with deliverables, such as census reports, billing details, and certifications.
  • Assist and keep abreast of Federal and State regulations that affect the industry.
  • Maintain CEO’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Welcome guests and staff by greeting them, in person or on the telephone, and answering or directing inquiries.
  • Prepare reports by collecting and analyzing information required by the CEO and Director of Operations.
  • Represent the CEO by attending meetings and conference calls in the executive’s absence and speaking for the executive as directed.
  • Maintain confidence and protect operations by keeping information confidential.
  • Complete projects by assigning work to administrative staff and following up on deliverables if necessary.
  • Secure information by completing database backups.
  • Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, and participating in professional societies.
  • Develop and manage Social Media platforms such as Twitter, Facebook, Instagram, and the Project ReDirect websites.
  • Contribute to the team effort for excellence by accomplishing goals and objective initiated by the CEO.


Skills and Qualifications:

  • Experience exercising discretion and confidentiality with sensitive company information
  • Excellent written and verbal communication skills, via phone, e-mail and in person
  • Excellent reporting skills
  • Ability to schedule with experience in Microsoft Office online calendar and cloud systems
  • Excellent computer software skills including, word, excel, power point share point and teams
  • Excellent Organization skills and the ability to think proactively and prioritize work
  • Knowledge of office procedures and protocol
  • Must be detail oriented
  • Excellent time management skills
  • Excellent presentation skills
  • Proficient in travel logistics
  • Ability to work a flexible schedule


Education and Experience Requirements:

  • High School Diploma: Bachelor’s degree preferred
  • Three to five years of progressive Executive administrative assistant experience


Certifications, Licenses, or Registrations:

  • Must possess a valid driver’s license


Physical Requirements:

  • Must be able to sit at computer keyboard and input data for extended periods of time
  • Must be able to walk, bend and stand frequently
  • Must be able to lift up to 25lbs
