Student Services Specialist


ProTrain is a nationally accredited school through the Middle States Association of Colleges and Schools (MSA-CESS) and is recruiting for a Student Services Specialist to assist with the following duties:

  • Entering student data into Salesforce following the procedures and policies of ProTrain.
  • Following up with students who have completed their courses via phone, email, and text communications to retrieve data necessary for reporting purposes.
  • Pull exam reporting from third party certification exam providers to verify a student’s completion of a certification exam.
  • Distribute provided exam vouchers / instructions to students via Salesforce.
  • Prepare and process forms, as necessary.
  • Review and edit student resumes.
  • Provide information and assistance about career development, career search and careers.
  • Perform mock interviews with students along with helping students prepare for the interview process.
  • Assist students with job readiness skills and tactics to become more effective during the hiring process
  • Find employers in student areas to assist with job placement by explaining our programs and graduate outcomes.
  • Monitor job boards to assist students with employment opportunities.
  • Collect job placement data which requires following up with students and employers.
  • Work with internship coordinator to secure job placement after internship completion.
  • Maintain ongoing communications with students and alumni
  • Assist Director of Information Services and Registrar with other tasks, as necessary.

This is an hourly position with a minimum of 20 hours weekly and potential of 40 hours per week depending on growth of flow of work. This position has the opportunity to gain experience into a full-time position as more responsibilities are required.


  • Timely and correctly updating student records
  • Ability to maintain student records in a CRM. (Salesforce)
  • Excellent problem solving, interpersonal, written, and verbal communication skills
  • Proficient in Microsoft Office and other computer software
  • Meticulous with strong organizational, customer service and multi-tasking skills
  • Ability to maintain confidentiality and effectively communicate with diverse populations
  • Ability to analyze and prioritize tasks; determine appropriate solutions; and work independently
  • Knowledge of the principles, policies, and techniques of educational administration; thorough knowledge of ProTrain policies and procedures; thorough knowledge of MSA-CESS rules and regulations.

Minimum Educational Qualifications

Associate degree from a recognized state or federal organization and at least two years' experience performing administrative duties at an educational institution for student / career services.



Knowledge of the principles, policies, and techniques of educational administration; thorough knowledge of ProTrain policies and procedures; thorough knowledge of MSA-CESS rules and regulations is preferred.

  • Understanding, interpreting, and applying laws, regulations and procedures concerning financial aid programs


  • Multi-task, organize, prioritize, and follow multiple projects and tasks through to completion with an attention to detail
  • Work independently in meeting various time deadlines and work pressures with frequent interruptions
  • Communication, both verbally and in writing, to convey ideas, facts, and information effectively and accurately to employees, students, parents, and the public
  • Maintain effective working relationships with those contacted in the course of work
  • Handle student and school confidential information with absolute discretion
  • Work effectively with a culturally diverse student population, including those with various levels of academic preparation and varying physical and learning abilities and socioeconomic levels
