Your role is multi-dimensional, serving two lead Agents while providing concierge level service to clients and assisting a small office team. We are looking for a career Real Estate Assistant/Executive Assistant with prior experience in a similar role. Applicants seeking a position as a stepping-stone into sales—this is not the job for you.
The ideal candidate plays an active role in the transaction process, pays attention to the details, and knows how to prioritize their responsibilities without direction. Our client seeks someone who will put the needs of their agents first and handle all communication with a polished etiquette and finesse.
Your duties will also include, but is not limited to:
Office Management: Draft, implement and manage systems, checklists, and procedures to ensure the smooth and efficient office flow. Handle of all database management and help scale operations as the business grows.
Transaction Management: Play an active role in every stage of a transaction such as handling transaction paperwork. Prepare properties for listings and showing properties; attend inspections.
Customer Support: Serve as the key contact person for clients, and you will make clients the priority at every step in the process.
Marketing: Assist with pre-marketing pieces and utilizing templates for marketing materials. Post listings to real estate websites, and maintain and manage listings/marketing in internal systems.
Admin Support: Provide an executive level of administrative support this may include but is not limited to phone and email management, calendar organization, task management, organizing client gifts, running errands as needed and keep your agents committed to key tasks. Assist with marketing campaigns and initiatives on behalf of your agents.

Required experience and knowledge:
You have 2+ years of executive administrative or executive assistant experience managing a real estate office and/or providing support to a fast-paced real estate agent. Experience in title, mortgage, escrow or real estate legal is also welcome. Prior experience in implementing and overseeing marketing /social media platforms is preferred.
We’re also looking for mastery of the following:
• Must have CRM experience
• TopProducer preferred, but not required.
• Google Suite of Services
• MS Office Suite (Word, Excel, etc.)
The Details:
Salary: $50k with bonus
Hours: Full-time, M-F 9 am - 5 pm, flexibility on weekends and evenings is required
Benefits: Negotiable
Location: Toronto, ON. You live within a 30-minute commute of West Toronto. You have daily access to a personal vehicle that you can drive for work-related tasks. You have a driver’s license and you carry insurance.
