Job Description

Position Overview

The Administrative Assistant assists the management staff in the day to day operations of the branch office. He/She will be responsible for assisting in a variety of tasks, including but not limited to scheduling, payroll, fiscal management, client/employee files, and various other tasks as needed.

General Responsibilities

-Represent PBS professionally and ethically to internal and externals patrons

-Organize and maintain accurate client and funding files

-Distribute funding documents and correspondence to satellite offices

-Maintain management reports including contracts, billing, distribution and mailing logs and to satellite offices and billing department

-Respond to emails and phone inquiries from employees and clients

-Perform general clerical duties to include but not limited to, copying, faxing, mailing, filing, etc

-Maintain inventory of all company equipment (Office Supplies, Toys, iPads, laptops, webcams, etc.)

-Maintain accurate information within PBS's business systems

-Assist with the preparation and maintenance of employee and patient files in accordance with PBS policy and HIPAA standards

-Assist with Payroll and the organization of time-sheets and communication with accounting department

-Schedule and attend all required trainings and meetings

-Assist in major and minor daily operations as directed by management

-Schedule, enter, update, and maintain client appointments in practice management softwares

-Maintain executive schedules, in an organized and efficient manner

-Must keep track of changing organizational needs as it relates to policies, business systems, legal practices, HIPAA compliance, technology, etc.


-A minimum of 2 years experience in an administrative assistant role

-Bilingual in Spanish Required

-At least an Bachelor's degree in business management, accounting, finance, or related field

-Ability to execute active listening and problem solving skills to provide exceptional customer service

-Ability to maintain day-to-day operational requirements in a professional and timely manner

-Excellent interpersonal relationship skills and ability to work with individuals of various ranking in the organization

-Excellent written and verbal communication skills, including phone and e-mail etiquette

-Excellent computer skills, and knowledge of MS Excel, Word, Outlook; ability to efficiently learn and use new computer systems and iPads

-Ability to lift up to 25 lbs. on a frequent basis as needed

-Ability to work well in an interactive, loud, fast paced environment
