Part-Time Administrative Assistant

$15.00/hr.

8:00am - 2:00pm

Salt Lake City, Utah

An exploration company is looking for a Part-time Administrative Assistant to join their team. Your primary functions as the Administrative Assistant will include greeting clients, answering phones, and assisting all staff members with administrative tasks, maintaining cleanliness of common areas, scheduling meetings and maintaining schedules of conference rooms.

Responsibilities:

  • Greet visitors and answer phones
  • Accept mail/packages and deliver to staff
  • Conduct a safety induction for all new visitors on the property
  • Prepare outgoing mail and shipments
  • Track employees via the sign in and out board
  • Receive daily security reports from the security company and address any issues that arise
  • Work with the security contractors on any issues with the security system
  • Assist on-site maintenance manager with scheduling and introducing visitors and contractors to the office
  • Will be assisting office staff with administrative tasks
  • Office invoice processing, entering and tracking invoices including creating vendor accounts and purchase orders
  • Run and maintain the office and kitchen, including supply ordering, stocking of items and maintaining cleanliness of common areas
  • Travel arrangements for staff and contractors utilizing Concur
  • Schedule conference rooms for meetings, coordinate catering for meetings and lunches and general assistance on days meetings take place
  • Scan, copy, print, file, and maintain electronic files, including moving files into SharePoint

Qualifications:

  • Must have strong computer skills, including proficiency in MS Word, Excel, PowerPoint and Outlook; SAP and SharePoint experience helpful
  • Strong decision-making and reasoning skills
  • Organizational skills
  • Detail oriented with close attention to detail
  • Reliable, personable, self-motivated and take instructions well
  • Must be extremely reliable and punctual
  • Some college experience required
